Job Title: ReceptionistJob DescriptionThe Receptionist provides high-level administrative support by greeting and directing visitors, managing incoming calls and inquiries, coordinating packages and courier deliveries, and performing a wide range of clerical and office support tasks. This role serves as the first point of contact for visitors and callers, ensuring a professional, welcoming, and efficient front desk experience while maintaining organized records and supporting daily office operations. Responsibilities • Greet and professionally welcome visitors, ensuring they are directed to the appropriate person or area. • Answer, screen, and route incoming telephone calls or console switchboard inquiries, providing accurate information as needed. • Receive, log, and distribute packages and mail, and coordinate outgoing shipments via couriers. • Maintain an accurate visitor log and call records, ensuring all visitors sign in and out as required. • Issue and collect security passes and badges for visitors and staff in accordance with security procedures. • Perform general clerical duties including typing, filing, photocopying, and organizing documents. • Maintain the boardroom schedule, including booking meetings and ensuring the room is prepared and equipped for use. • Oversee boardroom equipment and report any issues to ensure smooth operation for meetings and presentations. • Prepare and bind books, reports, and presentations as needed for internal and external use. • Assemble and prepare mailers and other outgoing communications in a timely and accurate manner. • Handle information requests and conduct basic research to support administrative and office needs. • Keep front desk and reception areas neat, organized, and presentable at all times. • Safeguard confidential information and follow established procedures for handling sensitive documents. • Work collaboratively with colleagues and provide additional administrative support as requested. Essential Skills • Strong verbal and written communication skills to interact professionally with visitors, callers, and colleagues. • Proven ability to multi-task and manage several responsibilities simultaneously in a front desk environment. • Demonstrated customer service skills with a focus on delivering a professional, courteous, and welcoming experience. • Effective interpersonal skills to build positive working relationships with internal and external stakeholders. • Ability to work independently with minimal supervision while managing one’s time effectively. • Strong organizational skills with the ability to keep information, records, and documents orderly and accessible. • Ability to maintain confidentiality and handle sensitive information with discretion. • Previous experience using computer applications such as Microsoft Word, Excel, and PowerPoint. • High school diploma or equivalent. • 5+ years of experience in reception, front desk, data entry, or customer service roles. • Experience with badging and security pass processes. • Experience providing high-touch or “white glove” service in a professional setting. Additional Skills & Qualifications • Background in clerical, administrative, or office support positions. • Experience managing a console switchboard or multi-line phone system. • Comfort working with Microsoft Office tools for document preparation, spreadsheets, and presentations. • Prior experience in receptionist or front desk roles within a corporate or professional environment. • Strong attention to detail when handling visitor logs, call records, and documentation. • Ability to adapt to changing priorities and support various administrative tasks as needed. • Professional demeanor and polished communication style suitable for serving as the first point of contact. • Experience preparing mailers, binding documents, and supporting meeting logistics. Work EnvironmentThis is a temporary assignment expected to run through the end of the year and is based at a professional office location in Cambridge, Massachusetts. The role is primarily on-site at a front desk or reception area, where the Receptionist serves as the first point of contact for visitors and callers. The position involves regular use of office equipment such as computers, phones, printers, copiers, and boardroom technology, as well as frequent interaction with couriers and internal staff. The environment is structured, professional, and customer-focused, with an emphasis on providing attentive, high-quality service to all visitors and internal stakeholders. Job Type & LocationThis is a Contract position based out of Somerville, MA. Pay and BenefitsThe pay range for this position is $29.00 - $29.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
