Job summary

Please note: at this stage, the role is open only to colleagues currently employed within Kent and Medway NHS Trusts, the Kent and Medway Integrated Care Board (ICB) and Medway Community Healthcare. Nursing vacancies are also open to Student Nurses and Newly Qualified Nurses.

We are seeking an experienced and motivated CHIS Support Manager to lead and coordinate the administrative functions of the Child Health Information Service (CHIS).

As a Band 5 administrator, you will have overall responsibility for ensuring the delivery of efficient, effective and patient-focused administrative support. You will design, develop and maintain systems and processes that support the patient journey, improve service delivery and reduce duplication and waste.

The successful candidate will lead and line manage a team of administrative staff, ensuring high standards of performance, quality and customer service. You will work closely with colleagues and stakeholders, monitor performance, support service improvements and ensure compliance with Trust policies and procedures.

Main duties of the job

o Provides specialised support to senior management or a client group in a specific discipline or area of expertise. In some roles this may include delivering training in small groups or on a 1-2-1 basis to support people to use systems or understand processes.

o Determines the scope, systems and processes for the provision of locality/directorate activity and oversees the co-ordination of information or activity. Ensures that the team resources are developed and used effectively to maximum capacity ensuring potential efficiencies are identified.

o Develops and maintains business process systems including plans, risk registers, statutory returns, performance and quality tools. Looks at data across the locality/directorate and analyses information to assess trends and patterns, makes predictions and provides reports to help senior management or the client group manage performance and plan for the future.

o Develops and monitors Standard Operating Procedures (SOP) for the administrative services across the locality/directorate acting as the specialist in this area and adapting and changing these as services evolve in line with external commissioning/national guidance.

Person Specification

Qualifications Essential

Bachelor's degree (BA (BSc) NVQ Level 6, Ordinary degree or equivalent, professional qualification or equivalent proven experience. Proven experience of management of a Child Health Information Team / Service.

Desirable

Management qualification or proven experience of managing staff with strong organisational and change management experience in an IT service delivery environment

Experience Essential

Experience managing information systems across one of more specialised areas in an NHS environment. Experience of analysing complex data Experience of planning a broad range of complex activities or programmes of work, which impact across the organisation e.g., Application upgrades. Proven use of office systems, with advanced use of Microsoft Office, i.e. MS Word, PowerPoint, Outlook and excel Experience of managing formal and informal HR processes

Desirable

NHS specific It system experience Understanding of NHS Community Services Experience of having managed budgets

Specialised Knowledge and Expertise Essential

An understanding of the NHS current agenda and challenges General understanding of the services requesting the information in order to be able to judge how to extract and present the information to ensure the clinical, management or financial information is accurate. In depth knowledge of the service, site and users. Knowledge and understanding of the demands placed on information systems within the NHS and the ability to assess and interpret requests for information and to identify which system can best provide the information in a suitable format.

Desirable

Understanding of the Healthy Child Programme. Understanding of New Born Screening Guidelines.

Skills and Abilities Essential

Ability to record accurate minutes of meetings and present to a high standard Proven standard of work processing skills, with a high standard of presentation and accuracy
