Job summary
To support the Practice Manager and GP Partners in the effective day-to-day management of the GP practice, ensuring the delivery of safe, efficient, patient-centred services.
The Deputy Practice Manager will provide operational leadership across the practice, support staff management and development, assist with governance and compliance, and deputise for the Practice Manager when required.
Main duties of the job
Key Responsibilities:
Support the Practice Manager with the day-to-day operational management of the GP surgery and deputise during periods of absence.Ensure reception, administration and non-clinical services operate efficiently, monitoring staffing, workloads and service capacity.Support recruitment, induction, rotas, appraisals, performance management, training and staff development.Promote effective communication, teamwork and a positive, supportive working environment.Support the development and review of practice policies and procedures.Assist with CQC compliance, governance, risk management, audits, significant events, complaints and incident reporting.Support GDPR, information governance, health and safety, mandatory training and NHS compliance requirements.Assist with monitoring QOF, Enhanced Services, vaccination programmes and other primary care targets.Contribute to quality improvement projects and initiatives to improve patient access, experience and outcomes.Promote a high standard of patient service and support the management of patient concerns and feedback.Support effective working relationships with the PCN and other local healthcare organisations.Assist with premises, equipment, facilities, suppliers and contractors as required.Attend relevant practice, PCN and external meetings and ensure agreed actions are followed up.Work collaboratively with GP Partners, clinical and administrative teams and undertake other reasonable duties appropriate to the role.

We are a friendly, forward-thinking and well-established GP surgery providing high-quality, patient-centred care to approximately 9,500 registered patients.
The practice is led by four GP Partners, supported by an experienced Practice Manager, Office Manager and Administration Manager. Our clinical team includes three, salaried GPs, four Practice Nurses, one Healthcare Assistant (HCA), one Phlebotomist, one Advanced Nurse Practitioner (ANP) and one Matron, working closely together to provide a comprehensive range of services to our patients.
Our reception and administrative teams work closely together and support one another to ensure the practice runs smoothly and patients receive a welcoming and professional service. We value good communication, teamwork and a willingness to help each other, particularly during busy periods.

Job PurposeTo support the Practice Manager and GP Partners with the effective day-to-day management of the practice, ensuring efficient operations, excellent patient experience, good governance and a positive working environment. The postholder will deputise for the Practice Manager when required.
Key ResponsibilitiesSupport the day-to-day operational management of the practice and non-clinical services.

Promote excellent patient service and support the management of patient feedback and concerns.
Work closely with the PCN and external healthcare organisations.

Contribute to practice meetings, business planning and implementation of agreed actions.

Person SpecificationEssential: Experience in a management or supervisory role; excellent organisational, communication and IT skills; ability to lead and support staff; ability to prioritise and work under pressure; commitment to confidentiality, patient care and continuous improvement.
Desirable: GP practice/NHS experience; knowledge of CQC, QOF, Enhanced Services, PCNs and primary care governance; HR and quality improvement experience.

Experience in a management, supervisory or senior administrative role. Experience of working in a busy, team-focused environment. Ability to lead, motivate and support staff. Experience of managing workloads, prioritising tasks and dealing with day-to-day operational issues. Good understanding of confidentiality, GDPR, information governance and health & safety. Highly organised with excellent time-management skills and the ability to manage competing priorities. Competent IT skills, including Microsoft Office and the ability to learn and use practice systems. Able to identify problems, assess risks and implement practical solutions using initiative. Positive, approachable and supportive team member who values collaboration and mutual support. Professional, reliable, flexible, approachable and able to remain calm under pressure.
