About this role

Job summary

Brockworth Surgery is looking for an enthusiastic, organised and motivated Administration Team Leader to join our busy GP practice and provide day-to-day leadership and oversight across our administration, secretarial and prescription teams.

This is a varied and fast-paced role requiring someone who can manage competing priorities, coordinate workloads, support staff and ensure important administrative processes are completed accurately and within appropriate timescales.

You will work closely with the Practice Manager, Assistant Practice Manager, Reception Manager, clinicians, pharmacist and wider practice team to ensure the smooth running of our administrative services.

Main duties of the job

Provide day-to-day leadership, guidance and support to administrators, secretaries and prescription advisors. Monitor staffing, workload and team capacity, ensuring appropriate cover and allocation of work. Prioritise urgent, clinically sensitive and time-critical tasks. Oversee administrative workflows including SystmOne tasks, scanning, pathology, prescriptions, medical records, registrations, referrals, recalls, coding, medical reports, QOF-related administration, PPA claims and immunisation administration. Monitor outstanding work, identify backlogs and take action to improve processes and efficiency. Oversee secretarial and referral workloads, ensuring correspondence and referrals are completed within agreed timescales. Work collaboratively with the Practice Pharmacist regarding prescription processes and queries. Support staff with day-to-day issues, training, development and performance. Contribute to staff reviews, team meetings, clinical governance and practice improvement. Monitor compliance with practice procedures and administrative requirements. Promote a positive, supportive and professional team culture. Escalate significant staffing, performance, clinical or operational concerns appropriately.

Person Specification

Experience Essential

Previous experience in an administrative, supervisory or team leadership role. Excellent organisational, communication and interpersonal skills. Experience managing competing priorities and workloads. Ability to work independently, use initiative and make appropriate decisions. Good understanding of confidentiality and handling sensitive information.

Desirable

Experience working within GP practice, primary care, NHS or healthcare administration. Experience using SystmOne or a similar clinical system. Experience supporting staff development, supervision or performance management.

Qualifications Essential

A good standard of education with an expectation of having both GCSE Maths and English at Grade C (Level 4) or above, or Functional Skills Level 2 in Maths and English

Desirable

NVQ Level 3 in Health and Social Care A qualification in leadership and/ or management
