About this role

Job summary

A great opportunity has arisen for an Administration Assistant / Receptionist to join our Medical Records Team.

37.5 hours per week (Monday to Friday, 8:30am to 4:30pm.)

As a member of the Medical Records Team, you will work within the Medical Records Department while also providing receptionist support to the main hospital, Outpatients Department, and Radiology Department.

Key Responsibilities

Professional Support and Guidance

Maintain confidentiality at all times.

Demonstrate accountability and professionalism in all aspects of the role.

Provide support to all members of the team.

Keep up to date with departmental developments by attending meetings, reading departmental communications, and participating in education and training sessions.

Report any incidents, accidents, or concerns promptly to the line manager.

Effective and Efficient Management of Resources

Use resources efficiently and responsibly.

Maintain awareness of the costs associated with commonly used items.

Identify and suggest improvements to resource management and working practices.

Main duties of the job

Meet and greet patients, visitors, contractors, couriers and delivery personnel.

Maintain a professional demeanour.

Be of cheerful and friendly disposition.

Operate telephone call center and telephonic appointment system.

Prepare and handover patient files for the outpatient clinics.

Record outpatient clinic outcomes in the patient record applications.

Support in covering the Radiology reception desk of the hospital.

Able to multi-task and think on your feet.

Operating car park barrier and door entry system.

Ensure photocopier is filled and supplies maintained.

Scanning, photocopying, laminating, uploading of documents.

Ensure stationery supply levels and re-order as necessary.

Report any faulty equipment to facilities.

Scan and email patient referrals and pharmacy requests.

Ensure Reception clean and tidy.

Keep noticeboards up to date.

Answer the call centre.

Person Specification

Experience Desirable

Recent, relevant experience in an Administrative/Secretarial/ Reception Role. Previous, relevant NHS experience.

Skills and Abilities Essential

A positive attitude and able to act on feedback. Ability to be supportive to others. Ability to communicate clearly and effectively in English in both verbal and written formats. A flexible and adaptable team member. Enthusiastic and self motivated.

Additional Criteria Essential

Good time keeping skills. Ability to meet the travel requirements of the role. I understand the Trust is unable to provide sponsorship to work for this role, and employment on a time limited visa doesn't guarantee sponsorship at point of expiry.

Knowledge Essential

Knowledge of office procedures. Working knowledge of Microsoft Office: Word, Excel, Outlook. Understanding of the Data Protection Act and NHS Code of Confidentiality.

Qualifications Essential

Educated to vocational level 2 in Business Administration or equivalent qualification or experience or Good general education with a minimum of 2 GCSEs (to include English Language) at grade 9-4 (*A-C). I understand that I will be asked to provide original certificates to verify my qualifications at point of offer.
