Job summary
Join the Clinical Engineering team at Cwm Taf Morgannwg University Health Board and play a vital role in supporting the delivery of healthcare services across the organisation.
Based at Prince Charles Hospital, you will provide a professional, efficient and customer-focused administration, helpdesk and reception service. As the first point of contact for staff, visitors and contractors, you will manage enquiries by telephone and in person, ensuring a welcoming and responsive service.
You will coordinate and record reactive maintenance requests and emergency repair calls, accurately logging information and forwarding requests to the appropriate engineering team to ensure timely action. You will also update job records and databases, monitor progress and provide customers with updates when required.
Working within established procedures, you will help ensure the smooth operation of a busy Clinical Engineering department, supporting the maintenance of medical equipment that is essential to patient care.
Although primarily based at Prince Charles Hospital, there may be occasional requirements to work across other UHB sites to support service delivery.

Main duties of the job The post holder operates the department helpdesk, providing a comprehensive administration and reception function as the main point of contact for clinical staff, contractors, and the public. Key duties include accurately logging and routing emergency repairs and reactive maintenance requests for swift resolution, while handling customer queries and complaints with diplomacy and professional reassurance. Additionally, the role coordinates day-to-day medical equipment library operations by tracking stock via specialised software and directing porters on device collection. Financial and administrative responsibilities include processing procurement orders and invoices through the Oracle software system, maintaining data spreadsheets, generating reports, managing mail, and securely archiving confidential files. Finally, the position supports visitor log management and meeting coordination.

Qualifications Essential
NVQ Level 3 in Business Administration or equivalent level of skills and knowledge gained through experience. Good general standard of education
Desirable
Additional ICT related qualifications.
Experience Essential
Experience of working in a busy office environment. Experience of setting up and maintaining office processes.
Aptitude & Abilities Essential
Ability to prioritise work and identify urgent requirements. Excellent communication and customer care skills and a good telephone manner.
