Job Description

We're looking for a Legal Assistant who thrives on precision, anticipates what a case needs before it's asked, and treats every file as though it's the only one that matters. This isn't just an administrative role, you're the backbone of the litigation practice, the steady hand that keeps every case moving forward, and the reason nothing falls through the cracks.

You're the kind of person who remembers which adjuster still owes a callback, notices the moment a client's medical records are overdue, and understands that a case is won as much in the details as it is in the courtroom. You take pride in keeping the file airtight—organized, current, and ready the instant your attorney needs it. Through every request, every follow-up, and every deadline, you'll deliver the diligence, discretion, and relentless follow-through this firm is known for.

KEY RESPONSIBILITIES

Medical Records, Billing & Lien Management

Top Priority — Core Function of This Role

• Send and track all medical records requests to providers, and follow up consistently until all outstanding records are received in full.

• Maintain up-to-date damages documentation throughout the life of the file, enabling timely supplementation of records to defense counsel and to retained experts.

• Support pre-suit case development by compiling current medical records in preparation of demand packages.

• Request, track, and update medical billing on an ongoing basis to ensure accuracy of the economic damages claim.

• Request, track, and update all liens (medical, health insurance, and governmental) to maintain an accurate and current lien picture throughout the case.

New Matter Intake & Opening of File

Time-Sensitive — Immediate Priority Upon Assignment

• Promptly issue opening requests upon assignment of a new matter, including requests to police departments and EMS, and preservation-of-evidence letters (including surveillance footage).

• Treat all intake requests as time-critical, addressing them ahead of other pending assignments given applicable preservation and retention windows.

• Follow up on all outstanding intake requests until materials are received and confirmed.

Adjuster Communication & Follow-Up

• Place regular follow-up calls to insurance adjusters to obtain information necessary to evaluate cases.

• Document the substance of adjuster communications in the file and relay pertinent updates to the assigned attorney.

Routine Correspondence Management

• Prepare and send all template correspondence to adjusters, including corresponding certified mail copies where required.

• Prepare and issue decline letters on investigation matters as directed.

• Follow up on all outgoing correspondence involving pending requests, excluding correspondence directed to defense counsel.

Document Organization & File Management

• Maintain each case file in a fully organized, indexed, and properly labeled condition within Filevine.

Ensure consistent file-naming and indexing conventions are followed at all times as a mandatory function of the role.

REQUIREMENTS

• High school diploma or equivalent required; an associate's or bachelor's degree is a plus.

• Exceptional interpersonal and communication skills.

• Professional, polished, and welcoming demeanor.

• Strong organizational skills with the ability to prioritize and multitask in a fast-paced environment.

• High attention to detail and the ability to anticipate client needs.

• Positive attitude, dependable work ethic, and a genuine desire to help others.
