OFFICE ADMINISTRATOR
ROLE SUMMARY:
We are seeking a highly organized, customer-focused Office Administrator to run our day-to-day office operations while leading our front office function. This role ensures smooth administrative processes, an exceptional guest experience, and effective coordination across teams. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment.
WHAT YOU WILL DO:
• Serve as the first point of contact for visitors, clients, and vendors; deliver a professional and welcoming experience.
• Manage reception operations: visitor log, meeting room bookings, guest Wi‑Fi/access passes.
• Oversee reception standards (signages, cleanliness, security protocols, visitor badges).
• Coordinate courier/dispatch, mail handling, and deliveries.
• Maintain front office supplies, brochures, and brand collateral.
• Support event logistics for onsite meetings, trainings, and VIP visits.
• Maintain office supplies, manage supply requests and monitor usage for timely restocking.
• Coordinate facility maintenance, cleaning schedules, and onsite service providers.
• Support document management: filing, scanning, archiving, and version control.
• Prepare basic reports (attendance, office maintenance requests, onsite vendor performance).
• Assist in onboarding logistics (desk setup, welcome packs).
• Manage calendars for shared spaces and coordinate guest meetings when required.
• Act as an internal communication hub for office notices, emergency drills, and general updates.
• Uphold brand standards across the office environment and visitor interactions.
QUALIFICATIONS AND EXPERIENCE
• Education: Degree in Business Administration, Office Management, or related field/equivalent ; additional certification in office administration is a plus.
• Experience: Prior experience in office administration and/or front desk management is preferred.
• Proficiency with MS 365 (Outlook, Teams, Excel, Word, SharePoint) and other office management skills.
