Job Overview
We are looking for a highly organized and dependable Executive Administrative & Sales Support Associate to provide administrative assistance while supporting day-to-day business and sales activities.
The role involves managing administrative tasks, coordinating schedules and communications, maintaining accurate records, and assisting with client and prospect engagement. The ideal candidate is detail-oriented, adaptable, and comfortable communicating with different stakeholders while managing multiple priorities.
Key Responsibilities
• Provide administrative support, including data entry, document preparation, file management, and other general administrative tasks
• Manage calendars, schedules, appointments, and meeting coordination
• Handle email correspondence and routine communications professionally
• Maintain accurate and organized records, reports, and databases
• Assist with coordinating meetings and ensuring schedules are properly managed
• Reach out to prospective clients to introduce services and coordinate appointments
• Follow up with leads and prospects to confirm availability and schedule meetings
• Maintain and update lead and appointment information in the appropriate systems
• Coordinate with internal team members regarding scheduled appointments and follow-ups
• Assist with other administrative, coordination, and sales support tasks as needed
Qualifications
• Previous experience in US administrative support, customer service, sales support, appointment setting, or a related role is preferred
• Strong verbal and written communication skills
• Excellent organizational and time-management skills
• Detail-oriented and able to maintain accurate records
• Comfortable communicating through phone, email, and other business channels
• Proficient in Microsoft Office and/or Google Workspace
• Comfortable learning and using CRM or scheduling tools
• Able to manage multiple priorities and work independently
• Professional, reliable, and responsive
