We are seeking a proactive and highly organised Business Support Senior Administrator to join our friendly team based at our Torbay site at the Annexe, Torbay Hospital. This pivotal role provides essential administrative and customer facing support to our MERs pathway, helping to ensure the smooth, efficient, and professional running of the service each day.

You will work closely with your business support colleagues, frontline clinicians, and Psychiatry Consultants, delivering collaborative, accurate, and reliable secretarial and administrative support across the team.

This is a permanent full time position working 37.5 hours per week.

Main duties of the job

Diary Management

Use of electronic systems

Preparation of electronic and paper files

Producing letters and reports

Assisting with reporting and compilation of data

Processing of incoming correspondence

Providing excellent customer service by responding to face to face and telephone queries in a timely and accurate way

Support to clinical team members

General administrative tasks

Person Specification

Qualifications Essential

Good general education eg GCSEs or equivalent

Desirable

NVQ level 3 Business Administration or equivalent experience.

Experience Essential

Computer Literate Good working knowledge of Microsoft Office packages including Outlook, Word, Excel. Willing to undertake training relevant to the post. Clerical, administrative or reception experience (minimum 1 year).

Desirable

Good knowledge of a wide range of office procedures. Clerical, administrative or reception experience (minimum 2 years). Experience within a customer care, healthcare, education or social care setting.

Specific Skills Essential

Effective interpersonal, organisational and communication skills. Ability to communicate clearly with a wide variety of colleagues and service users, both verbally and in writing. Good planning and organisational skills and ability to meet deadlines. Ability to prioritise and manage workload within a busy environment.

Desirable

Ability to support and advise lower banded staff. Ability to delegate tasks. Minute taking. Interested/enthusiastic about working within our services.
