We are seeking a proactive and highly organised Business Support Administrator to join our friendly team based at John Parkes Unit, at the Annexe, Torbay Hospital. You will have a key role in providing support across the full range of office and service activities, including the smooth running of the office, reception and front of house duties and administrative support to a range of frontline clinicians & managers.
This is a permanent part time position working 22.5 hours per week (3 days working 9am-5pm)
Main duties of the job
Front of house & reception support: welcoming visitors, answering calls, taking accurate messages, and providing a warm, professional first point of contact.
General office administration: scanning, filing, updating records, processing mail, generating letters, and keeping systems accurate and up to date.
Customer service: communicating clearly and sensitively with service users, families, colleagues and external professionals.
Service support: ordering supplies, handling petty cash in line with policy, and reporting gaps or issues to managers.

Person Specification
Experience Essential
Good working knowledge of Microsoft Office packages including Outlook, Word, Excel Willing to undertake training relevant to the post Clerical, administrative or reception experience (minimum 3 months)
Desirable
Clerical, administrative or reception experience (minimum 1 year). Experience within a customer care, healthcare, education or social care setting Reception Experience
Knowledge and Skills Essential
Effective interpersonal, organisational and communication skills Ability to communicate clearly with a wide variety of colleagues and service users, both verbally and in writing Ability to work as part of a team Ability to work with discretion, sensitivity and maintain confidentiality Punctual, cheerful, reliable and dependable Ability to prioritise and manage workload within a busy environment Able to contribute to the changing demands of the service Accurate and Efficient IT and Keyboard Skills Willing to travel to work at other sites to cover absences, for training etc.
