About this role

Job summary

Join our Clinical Site Management Team as a Repatriation and Live Bed State Administrator, supporting safe and efficient patient flow across St George's University Hospitals NHS Foundation Trust. In this fast-paced, 24/7 operational role, you'll maintain the Trust's electronic live bed state, coordinate inter-hospital transfers and repatriations, and assist with real-time bed allocation to ensure patients are in the right place at the right time.

You'll work closely with Bed Managers, Capacity Coordinators, Clinical Teams, and External Partners, using digital systems to keep patient movement and capacity data accurate and up to date. This role is ideal for someone organised, calm under pressure, confident communicating with a range of stakeholders, and keen to contribute to high-quality patient care.

Shifts operate on a rotational rota of days, nights, weekends, and bank holidays.

Main duties of the job Maintain an accurate live bed state using the Trust's capacity management system to support safe patient flow. Coordinate inter-hospital transfers and repatriations, ensuring timely communication with wards and external organisations. Assist Bed Managers and Capacity Coordinators with real-time bed allocation for emergency, elective, and transfer patients. Respond to high-volume operational calls, escalation requests, and flow queries, providing accurate information and actions via IMS. Keep digital records and patient flow data up to date, supporting reporting and operational visibility across the hospital. Screen transport booking referrals inline with the NHSE eligibility criteria and book accordingly to help facilitate smooth patient movement throughout the Trust.

Person Specification

Education & Qualifications Essential

GCSEs or Functional Skills in Maths and English

Desirable

IT User Skills qualification (e.g., ECDL/ICDL or equivalent) NVQ Level 2 or 3 in Business Administration

Experience & Knowledge Essential

Experience working in a busy, operational, team-based environment Previous experience working within the NHS or another health or care setting Familiarity with using digital clinical systems (e.g., EPR, PAS, Cerner/iCLIP)

Desirable

Experience delivering or supporting system training for staff Knowledge of medical terminology

Skills & Abilities Essential

Ability to plan, organise, and prioritise workload effectively Confident managing high-volume calls and responding calmly under pressure Confident use of digital systems for updating records

Strong problem-solving skills and ability to support process improvements
