About this role
Your missionYou help create experiences that people remember. Working closely with our Event Manager, you support the planning and execution of our events – from Impossible Founders' own formats to our presence at conferences and trade fairs. You keep the operational details under control so the team can focus on the bigger picture, and help turn it into content for our channels afterward.
Event Coordination & Operations (your main focus)Planning & vendors
Research and coordinate logistics with vendors — venues, catering, equipment, tech, design, and decorationMaintain vendor contact lists and keep the CRM/database currentBenchmark other events and scout venuesGuest & stakeholder communicationManage registration lists, RSVPs, and guest communicationsSupport coordination with partners, sponsors, and institutionsSupport calendar scheduling and internal event announcementsOn-site executionPrepare name badges, signage, and printed materialsOrder and track event supplies and giveawaysSet up and break down event spaces (e.g. signage, seating, tech)Wrap-up & reportingTake photos and notes for internal documentationCollect feedback forms and survey results, and help pull together simple success metrics (attendance, feedback, reach)Reconcile invoices and keep the budget tracker up to dateArchive event materials and photos in the shared drive/Notion, and turn it all into reports on comms and press impact Marketing & Communication (supporting role)Help grow our brand presence across our channels and different communication opportunitiesSupport storytelling around our events and the journey of our startups, and help bring our brand to life through general marketing operation tasksScout trends and support content research
Your profileWhat matters most to us
Enrolled in a degree program related to event management, communication, marketing, hospitality, or a comparable fieldFirst experience in events, hospitality, or project coordination (personal or through internships)Strong organizational skills and attention to detail; comfortable juggling multiple tasks against tight deadlines, and staying calm and friendly even right before an event startsStructured, proactive, and solution-oriented way of workingReliable and curious to explore new tools and topicsExcited about a steep learning curve in a meaningful environmentAble to work independently and prioritize tasksFluent in German and EnglishGenuine interest in the startup, DeepTech, or innovation ecosystem Additionally, it would be a plus if you bring Basic skills in Canva, video editing, or social mediaCopywriting skills
