Position Overview: We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will have a background in general office administration, bookkeeping, and data entry, with a strong understanding of accounts receivable and payable. Additionally, a background and general knowledge of computing and technology is a plus.
Key Responsibilities:
Office Administration:
* Manage day-to-day office operations to ensure a smooth and efficient workflow. * Maintain office supplies and equipment, ensuring everything is in good working order. * Coordinate with clients, vendors and service providers as needed. * Ensure a clean, organized, and professional office environment.
Bookkeeping and Data Entry:
* Manage accounts receivable and accounts payable processes. * Perform general bookkeeping tasks including invoicing, billing, and recording financial transactions. * Maintain accurate and up-to-date financial records. * Track overdue accounts and follow up on outstanding payments. * Assist in budgeting and financial reporting.
Communication:
* Serve as the point of contact for internal and external communications. * Handle incoming calls, emails, and correspondence. * Facilitate effective communication between departments and with clients.
Scheduling:
* Schedule and coordinate meetings, appointments, and travel arrangements for staff. * Manage the office calendar and ensure timely communication of important dates and deadlines.
Service Ticket Quality Assurance:
* Monitor and track service tickets to ensure timely completion and resolution. * Communicate with Titan Technicians and Clients to provide updates on the status of service requests. * Collaborate daily with the technical team to ensure high-quality service delivery.
Human Resources Support:
* Assist with onboarding new employees and maintaining employee records. * Help organize and coordinate staff events and activities.
Other Duties:
* Support special projects and perform additional administrative tasks as required.
Qualifications:
* Proven experience as an Office Administrator, Administrative Assistant, or similar role. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software (e.g., QuickBooks). * Strong organizational and multitasking skills. * Excellent communication and interpersonal skills. * Attention to detail and problem-solving abilities. * Background and general knowledge of computing and technology is a plus. * Ability to work independently and as part of a team.
Education:
* High school diploma or equivalent; * Associate?s or Bachelor?s degree in Business Administration or related field preferred.
