Initially scheduled for Thursdays and Fridays (8:30 a.m. to 4:30 p.m.), with the possibility of an additional half-day and increased hours over time.About Vena CuraVena Cura is a new, specialized vein clinic in Moncton, New Brunswick, founded by Dr. André Poirier, MD, FRCSC (vascular surgeon). We diagnose and treat the full range of lower-limb venous disease - from spider veins to large varicose veins and venous ulcers - using VenaSeal closure, ultrasound-guided sclerotherapy, duplex ultrasound, and compression therapy. Our environment is professional but genuinely warm and fun, and we are building a premium, concierge-style patient experience from the ground up.Role OverviewAs our bilingual medical secretary, you are the first voice and face patients encounter - and the person who keeps the clinic running smoothly day to day. You'll manage the schedule and front desk in our Jane EMR, coordinate insurance and billing, help patients feel genuinely cared for, and keep our calendar full. This is a patient-facing, detail-driven role for someone who is warm, organized, and takes ownership.Key ResponsibilitiesReception & scheduling: Welcome patients warmly by name, manage the appointment calendar in Jane, handle phone, email and reminders, and keep the booking rate high through proactive rebooking.Patient experience: Deliver a VIP, concierge-level experience - from first contact to follow-up - so every patient feels looked after.Insurance & billing coordination: Verify coverage before visits, prepare coverage summaries, submit private-insurance claims (e.g., compression garments), support NB Medicare billing, and follow up on outstanding claims.Products & compression support: Assemble patient after-care bags.Communication & records: Keep charts and records accurate and tidy in Jane, coordinate referring-physician correspondence, and protect patient confidentiality at all times.Team support: Work closely with the physicians and nursing team to keep clinic days organized and efficient.Qualifications RequiredFully bilingual (French and English), spoken and writtenWarm, professional manner with patients and strong customer-service instinctsHighly organized, reliable and detail-oriented, with discretion and respect for confidentialityComfortable with computers and electronic medical recordsTeam player who takes initiativeAssetsDiploma in medical office administration (or equivalent experience)Experience in a medical/clinical office and with an EMR (Jane in particular)Familiarity with private insurance / direct billing and NB MedicareExperience with scheduling, rebooking, or a sales / customer-facing environmentKnowledge of compression therapy or vascular / vein careWhat We OfferCompetitive hourly wage ($24/hr)The chance to be a founding team member in a growing clinicA supportive, professional and fun work environmentModern, tech-enabled workflows (Jane EMR, automated patient communications)Direct mentorship and a real voice in how the front of the clinic runsHow to ApplyPlease apply by submitting your résumé and a brief cover letter.
