Based in Antwerp, the EU Project Coordinator plays a pivotal role in supporting the successful delivery of the NOVA Supply Chain Project by ensuring robust project governance, financial oversight, and continuous improvement of project management practices and systems. The role reports into the Program Manager & Delivery leads and partners with project managers, business analysts and change managers to enable effective execution and portfolio transparency. Key Accountabilities Project Governance & Reporting Maintain accurate project data in Zespri’s Portfolio Project Management (PPM) tool and related systems, ensuring risks, issues, milestones, forecasts, and status updates remain current. Prepare and distribute governance packs for Steering Committees and executive forums, including agendas, meeting documentation, and follow-up actions. Communicate reporting deadlines to Program Managers, monitor governance activities, and escalate risks or gaps where required. Deliver project status, Steering Committee, and resource capacity reporting, supporting governance report preparation. Process & System Management Maintain and improve EPMO tools, templates, and documentation. Manage SharePoint and Teams sites, ensuring materials are relevant, current, and accessible. Support continuous improvement of project management tools and processes through feedback and enhancement initiatives. Coordinate timely procurement of resources for project staff. Maintain the Lessons Learned database to support project delivery. Financial Management & Resource Allocation Coordinate monthly financial activities, including invoices, timesheets, project closure checks, and contractor purchase orders. Manage vendor account activities, ensuring external parties are correctly set up in finance systems for invoice processing. Maintain EPMO registers, including contractor records, PeopleZOne, BCP contacts, and project charge codes. Stakeholder Engagement & Communication Build effective relationships with internal stakeholders to support project and portfolio delivery. Coordinate project team meetings and Steering Committees. Support communication of project and portfolio insights to promote transparency and informed decision-making. Ko wai koe? Who are you? We're looking for a team player with five years’ experience as a PA, administrator or team coordinator. You will also fulfill the following: Highly proficient with Project & Portfolio Management tools and the ability to configure projects and programmes Experience with AI chatbots and automation tools to streamline workflows and enhance efficiency Strong Excel expertise capable of developing complex formulae and automation A solid understanding of project lifecycles and principles of governance Strong planning and organizing skills with the ability to effectively coordinate people, processes and events.
