Role: Student Services & Facilities Team Leader
Reporting to: Student Services Manager
Location: Sydney
Overview of role
Under the supervision of the Student Services Manager, the Student Services & Facilities Team Leader is responsible for supporting the day-to-day management of reception as well as campus for ILSC & Greystone College Sydney.
Job Duties
Student Services/Reception: Under the supervision of the Student Services Manager, the duties include, but are not limited to:
• Ensuring the highest quality customer service of the team, including interacting with students and potential students and answering or directing customer enquiries to the appropriate team (including phone, email, mail and in-person)
• Organising and preparing for intake days and graduation
• Assisting students access their learning platforms such as MOODLE, the ILSC & Greystone College Apps, and Microsoft 365
• Updating the school’s database with student information, including PRISMS
• Managing the student services/reception team’s schedule, including leave cover management
• Leading the student services/reception team in training sessions when required
• Supporting the recruitment and hiring process of new reception staff if required
• Purchasing student health insurance
• Managing textbook stock levels and providing reports to the finance team
• Assisting students with payments
• Liaising with and supporting other departments, including student advising, academic, and accommodation
• Advising, developing and acting on ILSC policies and procedures, especially administrative processes, to ensure efficiency and compliance (including ESOS Act).
• Supporting the student services manager by:
• Creating an inspiring team environment that is in line with ILSC’s core values
• Answering team member questions, addressing any issues and overseeing team members work for quality and guideline compliance
• Listening to team’s feedback and resolving any issues or conflicts
• Communicating goals and deadlines to team members
• Developing strategies to promote team member adherence to company performance goals
• Conducting team meetings to update members on best practices and continuing expectations
• Discovering training needs and providing coaching
• Generating and sharing comprehensive and detailed reports about team performance, mission-related objectives, and deadlines
• Delegating and managing reception tasks
• Other projects or related duties as determined by the Director/Director of Studies
• Escalating issues to the appropriate stakeholders, as required
Facilities Management: Under the supervision of the National Director, Campus Operations, the duties include, but are not limited to:
• Overseeing the opening and closing of campuses and ensuring the school is secure
• Ensuring high standards of cleanliness of the campus by coordinating with the cleaners and flagging ongoing concerns
• Coordinating fire warden training with building management as needed
• Overseeing general maintenance of the campus, including:

• Organising the replacement and repair broken furniture and fixtures
• Lodging tickets to the building management for repairs
• Organising vendors and trades when required
• Liaising with IT department and interns on issues
Essential Qualifications, Skills, and Attributes:
• Strong communication and leadership skills
• Ability to multitask with strong attention to detail
• Excellent organizational and computer skills
• Proactive with strong problem solving and critical thinking skills
• Knowledge of another language also an asset
Education and Experience Required
• Post-secondary education preferred
• 2-3 years’ experience in student services, preferably in an international environment
• Some leadership/management experience preferred.
