Job summary
We're looking for an enthusiastic, organised individual to join our team as a Dispensary Receptionist. In this role, you'll support the safe, accurate, and efficient supply of prescription medications to our patients, ensuring they receive an excellent standard of service.
This is a part-time, on-site position of up to 22.5 hours per week, working Monday to Friday. Working days will be discussed and agreed at interview, with Saturday mornings worked on a shared team rota basis. You will be joining our busy Dispensary Team, led by an experienced and dedicated Dispensary Manager.
Main duties of the job
Meet and greet patients arriving at the dispensary hub collection desk
Handle queries directing those that require dispensing advice to a dispenser.
Provide information regarding the turnaround time for prescription requests.
File prescription medication bags and prescriptions away in the retrieval system ready for collections.
Keep reception area tidy at all times.
Check prescription validation upon handout. eg. Controlled drug prescriptions are within the 28 day expiry date.
Check prescriptions and relay any directions or information to the patient or representative upon collection.
Sign patients up to our dispensing services and assist in management of prescription ordering via online services such as the NHS App
Dismantle and record any uncollected medication on the patients medication record following standard operating procedures.
To collect all due prescription charges and ensure that the patient declaration on the reverse of the FP10 is duly filled in and signed by the patient.
Sort and file prescriptions into prescribers names ready for endorsing.
To ensure that all monies received or handled on behalf of the practice are cashed up and appropriately stored.
To ensure that drugs are stored in an appropriate manner in accordance with the accompanying instructions.
To undertake any necessary work as may be required and appropriate to maintain a high standard and efficient dispensing service.

We are a 6 partner, semi rural dispensing and training practice serving around 16'700 patients.
We have Two sites located within Brampton, along with Corby Hill and Wetheral.

To ensure that shelves and all work surfaces are regularly cleaned to maintain a high level of hygiene within the dispensary reception.
To ensure that refrigerated items are stored at the appropriate temperature and to maintain a temperature control record/logbook for twice daily readings.
To communicate factual information to patients about medication.
Undertakes patient surveys / audits as required.
To ensure adherence to dispensary standard operating procedures at all times.
To ensure competency against dispensary services quality scheme checklist.
To undertake any necessary work as may be required and appropriate to maintain a high standard and efficient dispensing service.
To complete and sign off a daily task checklist
Medication returned from patients or their representative to be dealt with on the day they are received.
Person Specification
Qualifications Essential
Good communication / customer service skills. Experience of Microsoft Office software. Experience of using computer systems. Experience in dealing directly with the public/patients. Experience of working in a reception or busy customer facing role. Ability to work without direct supervision and use own initiative. Ability to work well in an integrated and multi-skilled team. Ability to work well and remain calm under pressure. Ability/willingness to travel to other clinics to work during work hours when necessary. Ability to self-motivate, organise and prioritise own workload. Flexibility of working hours/ able to work within a rota and provide additional cover in times of need. An understanding, acceptance and adherence to the need for strict confidentiality.
Desirable
Experience in a healthcare setting / Primary care. Stock control, usage tracking and re-ordering arrangements. Dealing with queries and complaints. NVQ Customer Service. Experience of using EMIS.
