About this role
The Scheduler 2 serves as a key member of the Patient Centered Medical Home team. This role functions primarily in the front office, coordinating patient scheduling and registration while ensuring excellent patient experience. As a Medical Assistant, the Scheduler 2 may provide clinical support in the back office when coverage is needed.
The Scheduler 2 is often the first point of contact for our patients—both by phone and in person—and is responsible for presenting a courteous, professional, and patient-focused presence at all times.
Essential Job Responsibilities
Patient Access & Scheduling
• Schedule new and returning patients, including managing walk-ins appropriately.
• Verify and update demographic and insurance information at each visit.
• Assist with appointment reminders and follow-up calls for no-shows or cancellations.
• Document all patient communications in the electronic medical record (EMR).
• Return calls, emails, and telephone encounters by the end of each business day.
Insurance & Eligibility Support
• Understand basic insurance verification processes and TAN Healthcare’s Sliding Fee Discount Program (SFDP).
• Provide general information to patients regarding insurance and sliding fee eligibility.
• Assist the Eligibility team in collecting identification, insurance cards, and required documentation.
• Collect copayments and accurately post payments into the EMR.
• Maintain accurate daily register logs.
Front Office Operations
• Answer multi-line phone system and route calls appropriately.
• Check patients in and/or out according to workflow procedures.
• Maintain accurate sign-in documentation as required.
• Scan and upload documents into the EMR.
• Monitor fax inbox and route documentation appropriately.
• Ensure appropriate desk coverage when away from workstation.
• Maintain a clean, organized, and disinfected lobby area throughout the day.
Clinical Support (As Needed)
• Provide Medical Assistant support in the back office when coverage is required.
• Assist with patient rooming and basic clinical workflows within scope of MA certification.
• Assist with triage processes under licensed provider supervision and within scope of practice.
Team-Based Care
• Collaborate with providers, nursing staff, eligibility specialists, and care teams to support coordinated patient care.
• Support Patient Centered Medical Home principles including access, continuity, coordination, and patient engagement.
Other Duties
• Perform other duties as assigned to meet operational needs.
Minimum Education, Qualifications, and Experience
• High School Diploma or GED required.
• Medical Assistant Certification required.
• Current BLS Certification required.
• Ability to successfully pass a background check.
• Working knowledge of Microsoft Office and Windows-based computer systems.
• Experience with electronic medical records preferred.
• Ability to work full-time hours during health center operating hours.
• Ability to sit or stand for prolonged periods, including extended computer use.
• Adhere to all HIPAA regulations and organizational confidentiality policies.
