Job summary
An exciting opportunity has arisen for a well-motivated and flexible individual to join the Medical Oncology Administrative team as the SIRT and PRRT coordinator.
You will work very closely with the clinical teams to ensure patients are booked in for appropriate appointments in a timely manner and all administrative tasks are complete. You will have regular communication with patients, both face to face and via the telephone, to answer any non-clinical queries.
You will be able to organise and prioritise your own workload and balance this with the demands of this busy and diverse role. An extensive background in NHS administration is required.
This post is 37.5 hours over Monday to Friday. We can support a combination of home working and on-site working as part of this role and flexible working can also be considered.
Main duties of the job
You will be enthusiastic, willing to learn, eager to play an effective part in a busy team environment and be able to use your own initiative.
You will have experience of audio-typing and copy typing and ideally have worked within a healthcare environment with Medical Secretarial experience and a good knowledge of medical terminology.

Planning and organisational tasks / duties
The post holder will be required to:
Navigate a range of IT systems to navigate patient care which includes the booking of patient appointments and blood test appointments.
Ensure that all aspects of care/interaction with patients and other service users are documented in line with Trust policies on Trust systems and departmental databases.
Assist the clinical teams with any audits and research.
Ensure that ward staff are informed of treatment plan for inpatients and relay any relevant concerns to the clinical teams.
Liaise with Clinical Trial Research Nurses and Coordinators on any SIRT or PRRT clinical trials regarding treatment and ensure that any information or data they require is collected at source.
Organise and attend the SIRT MDT and listing the patients needed for discussion. This will involve preparing any necessary paperwork and annotating the outcomes and decisions from the MDT.
Attend the Radiology lunchtime meeting where all SIRT cases are discussed, and decisions are made on patients treatment.
Attend any Site Initiation Visits or Investigator meetings.
Liaise and work closely with the relevant teams in Radiology, Nuclear Medicine and Radiopharmacy regarding treatment and scan dates.
Inform relevant teams of any changes to treatment dates and ensure that any ordered medicines are postponed or cancelled.
Participating in any meetings as requested by management and clinical teams.
Escalate any service issues or concerns to the relevant management or clinical teams.
Liaise with external companies to arrange training programmes for SIRT and PRRT.
Liaise with transport booking team to arrange transport for patients when required.
Ensure that patients have relevant tumour markers and blood tests checked prior to and during treatment.
Be involved in the reporting of treatment outcomes, as well as Key Performance Indicators as agreed with the ENETS Centre of Excellence Leads.
Patient / service user related tasks /duties
The post holder will be required to:Provide compassion, empathy and support to patients, carers and relatives and can signpost to other services.
Provide non-clinical advice to patients and being able to identify specific issues.
Ensure that patients have been informed of different stages of their treatment and when these will take place. This may involve meeting patients in clinic to provide information documents on SIRT or PRRT.
Communicating with patients to ensure they know the dates of their treatments, including chemotherapy and ensuring that this has been booked.,
Ensure that patients have already been made aware of the safety aspects of having a Nuclear Medicine procedure.
Answer any relevant, non-clinical questions patients may have and being a general point of contact and arranging, if necessary, for further contact from the clinician or radiologist.
Visiting patients on the ward where necessary to provide them with any further opportunity to ask non-clinical questions or information documents about SIRT or other directed liver therapies and directing questions and concerns to the clinical teams where necessary.
Raise any concerns to relevant clinicians or radiologists regarding patients, especially concerning any safety issues.
Ensure that patients have their follow up PET CT scan at the relevant time and if needed, arranging for patients to be discussed at MDT to discuss reported findings.
Obtain any required reports such as blood results from other hospitals if required.
Contact patients after treatment and in between the preparation for treatment to ensure that they are not experiencing any problems, as well as receiving phone calls from patients when required. Any concerns or clinical questions should then be directed to the clinical team.
Receive details of patients referred to PRRT after discussion at the NET MDT.
Responsibilities for information resources
The post holder will be required to:Update the SIRT database after a patients treatment and collect any data needed for research purposes.
Ensure that any patients identified for SIRT at MDT meetings are requested on the electronic radiology systems and appointments are made.
Maintain a list of patients referred for treatment including setting up a waiting list for treatment.
Liaise with Nuclear Medicine and Clinical Teams regarding available treatment slots.
Understand the date of the patients last SSA injection in order to inform the scheduling of treatment.
Take responsibility for ensuring that all of their own mandatory training is up to date.
