Job summary

Wells Health Centre is looking for a friendly, organised and motivated Medical Secretary to join our supportive primary care team.

This is an important role within the practice, providing high-quality administrative and secretarial support to our clinical team and helping to ensure that patients receive a smooth, efficient and professional service. You will work closely with GPs, nurses and other healthcare professionals, supporting areas such as medical correspondence, referrals, patient records, appointments and communication with hospitals and other services.

The successful candidate will be highly organised, reliable and able to manage a varied workload while maintaining accuracy and confidentiality at all times. Excellent communication skills, attention to detail and the ability to work calmly under pressure are essential.

This is an excellent opportunity for someone who enjoys working as part of a busy multidisciplinary team and would like to develop their career within primary care. Previous NHS or general practice experience would be advantageous, although we welcome applications from candidates with strong transferable administrative and secretarial skills.

Main duties of the job

The Medical Secretary will provide efficient and confidential administrative and secretarial support to the clinical team, helping to ensure the smooth running of the practice and a high-quality service for patients.

Key responsibilities will include:

Providing administrative and secretarial support to GPs, nurses and other clinical staff.Preparing, typing and processing clinical correspondence, reports and other documentation accurately and promptly.Processing referrals and supporting the coordination of patient care with hospitals, community services and other healthcare providers.Managing incoming and outgoing correspondence, including electronic communications.Maintaining accurate and up-to-date patient records in accordance with practice procedures.Liaising professionally with patients, healthcare professionals, hospitals and external organisations by telephone, email and in writing.Handling confidential and sensitive information in line with GDPR, information governance and practice policies.Monitoring and actioning tasks, results and correspondence within agreed timescales.

Job Description Medical Secretary

Reports to: Lead Secretary/ Finance & Operations Manager

Location: On-site at Wells Heath Centre

Hours: 30 hours a week Monday to Friday

Job Summary:

To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.

Job responsibilities:

The following are the core responsibilities of the Medical Secretary/Administrator.

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all the items in the following list. Duties may be varied from time to time under the direction of the Lead Secretary / Operations Manager dependent on current and evolving practice workload and staffing levels:

Write accurate letters and reports using audio typing for all members of the medical team.

Liaise with external agencies such as hospitals and community services, and ensure referrals are processed efficiently.

Maintain an accurate referrals database.

Scan, process and code, workflow of all incoming patient correspondence from hospitals and other organisations.

Input data into the patients healthcare records as necessary.

Answer incoming phone calls. Transfer calls or deal with the callers requests appropriately.

Support all clinical staff with general administrative tasks.

There may be on occasion, a requirement to carry out other tasks; this will depend on factors such as workload and staffing levels.

While seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.

Person Specification

Qualifications Essential

Good standard of general education, including English and Maths. Relevant administrative, business or secretarial qualification, or equivalent experience. Evidence of continuing professional development relevant to the role.

Desirable

Medical terminology qualification or equivalent knowledge. Previous training in NHS, primary care or healthcare administration. ECDL/IT qualification or equivalent computer skills.

Experience Essential

Previous experience in an administrative or secretarial role. Experience of working in a busy environment and managing competing priorities. Experience of handling confidential and sensitive information appropriately. Experience of communicating professionally with patients, colleagues and external organisations. Good IT skills, including Microsoft Office and accurate data entry. Ability to organise workloads, meet deadlines and work both independently and as part of a team. Experience of maintaining accurate records and dealing with telephone and written enquiries.

Desirable

Previous experience working within general practice, the NHS or another healthcare setting. Experience using clinical or NHS systems. Experience of medical correspondence, referrals, patient records or hospital communications. Knowledge of NHS terminology, procedures and primary care pathways.
