About this role
1. External Meetings & Executive Coordination
• Manage and coordinate the SED's external meetings, business appointments, and official engagements.
• Liaise with clients, government agencies, business partners, consultants, vendors, and industry stakeholders to schedule and coordinate meetings.
• Prepare meeting agendas, briefing papers, background information, and presentation materials.
• Track meeting outcomes, action items, and deliverables to ensure timely follow-up.
• Coordinate executive participation in conferences, industry forums, strategic discussions, and business networking events.
• Facilitate travel arrangements and logistical support where required.
2. Stakeholder Liaison & Relationship Management
• Act as a primary coordination point between the SED and key stakeholders. • Engage with internal business units and external organisations on matters requiring executive attention. • Manage correspondence, meeting requests, and stakeholder enquiries in a timely and professional manner. • Support the development and maintenance of positive working relationships with clients, partners, and government agencies. • Assist in preparing stakeholder engagement plans, communication updates, and briefing documents. • Coordinate cross-functional discussions to ensure alignment and timely closure of actions.
3. Special Projects Management & Support
• Support the SED in the planning, coordination, and monitoring of strategic initiatives and special projects. • Track project timelines, milestones, risks, and action registers. • Coordinate project meetings and prepare status reports for management review. • Consolidate information and updates from various teams to support management decision-making. • Conduct basic research, market scans, and information gathering to support project and business development activities. • Assist in preparing executive presentations, management papers, reports, and proposal documents. • Support pilot projects, innovation initiatives, and cross-company collaboration programmes where assigned.
4. Executive Office Administration
• Manage and maintain executive records, documentation, and correspondence.
• Ensure proper filing of confidential and business-sensitive information.
• Prepare meeting minutes and track follow-up actions.
• Support procurement, claims, administrative submissions, and office coordination activities where necessary.
• Assist with the preparation of management dashboards and performance updates.
