General Summary The Administrative Assistant for Student Services provides comprehensive administrative and organizational support to the Deputy Superintendent for Student Services and the Student Services Department. The position serves as a key point of contact for students, parents/guardians, employees, schools, district departments, and outside agencies regarding student services matters. The Administrative Assistant is responsible for maintaining accurate and confidential records, coordinating meetings and department activities, preparing correspondence and reports, assisting with compliance-related documentation, processing student services information, and supporting the effective and efficient operation of the department. The position requires a high degree of confidentiality, professionalism, organization, attention to detail, sound judgement, and the ability to work independently while managing multiple priorities. Qualifications:
• Minimum Associates Degree
• Minimum of 2 to 3 years of administrative, clerical or office experience
• Experience working in a school district or educational environment
• Experience with Power School
• Experience working with confidential student records
• Experience supporting administrators or department-level leadership
• Knowledge of student services programs and school district operations
Confidentiality Due to the nature of this position, the Administrative Assistant for Student Services will have access to confidential student, parent, employee and district information. The employee must exercise sound judgement and maintain confidentiality in accordance with district policies, applicable laws, and professional expectations. Essential Responsibilities
• Provide daily administrative support to the Deputy Superintendent for Student Services
• Residency and Enrollment Support
• Assist families with submission of required residency documentation during student registration and annual verification periods
• Assist families in completing shared housing, custody, and McKinney-Vento affidavits in accordance with district policy.
• Works with district social worker and student services staff regarding sensitive student situations
• Troubleshoot registration issues and escalate complex cases appropriately.
Other Duties
• Assist the Deputy Superintendent with special projects and initiatives.
• Provide administrative support to other Student Services personnel as assigned.
• Assist with district initiatives involving student support, school climate, attendance, safety, wellness and other areas as directed.
• Perform other duties as assigned by the Deputy Superintendent for Student Services.
• Strong organizational and time-management skills
• Excellent written and verbal communication skills
• Ability to maintain strict confidentiality regarding student regarding student, parent and employee information.
• Ability to communicate effectively and professionally with individuals from diverse backgrounds.
