SUMMARY: This position is responsible for providing a variety of administrative support to a Director and Assistant Director of Special Services. They will establish and maintain department records, coordinate and prepare documents, create and maintain spreadsheets and databases, arrange meetings, coordinate assigned projects, provide information to the public regarding department/district policies/procedures, route/direct public and staff to the appropriate resource for assistance. 1. Provide administrative support and secretarial duties including, but not limited to handling and screening phone calls, answering inquiries, ensures follow through on requests, solves non-routine problems, and maintains calendars and filing systems. Responds to inquiries from a variety of internal and external stakeholders to provide information, facilitating communication among parties, and/or providing information. D 15%
2. Prepares and maintains a wide variety of reports and written materials (e.g. correspondence, notices, reports, letters, memorandums, tables, meeting minutes, charts, etc.) to document activities, provide written reference, and/or convey information. Uses the district information technology systems to create, communicate information, and maintain reports. Coordinates projects, programs, and department processes to comply with financial, legal, and/or administrative requirements (such as the WDE401 report). D 15%
3. Responsible for creating, preparing and verifying reports and written materials used for billing, invoice charges, contracts for other agencies, residential placement, correspondence, letters, memorandums, handbooks, proposals, etc. to document activities, provide written reference, disseminate information in compliance with program, district, state and/or federal requirements, adhere to requirements and/or convey information. W 25%
4. Responsible for verification, validating and approving reported time in district time and labor system. May prepare and analyze time and labor reports and complete paperwork for payment. D 10%
5. Responds to inquiries from a wide variety of internal and external parties (e.g. District staff, other schools, state and federal agencies, general public, students, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction. D 10%
6. Schedules appointments, coordinates and arranges meetings, conferences and workshop and special events; prepares agendas and announcements; coordinates meeting dates, arranges rooms; outlines room set-up including AV equipment. W 5%
7. Facilitates communication between department and/or district teams. Serves as department contact for parents, students, staff, and community with respect to department/district issues, policies, and procedures. Provides customer service support for departments/schools. D 5%
8. Prepares, composes, processes, and distributes correspondence, documents, or other printed information to parents, department, district staff, and the community. D 5%
9. Plans and attends meetings, workshops, and seminars as needed to convey and/or gather information required to perform job functions. M 5%

EDUCATION AND RELATED WORK EXPERIENCE:
• High school diploma, or equivalent, required
• 1-3 years' experience in an office setting or recording keeping role, preferred
LICENSES, REGISTRATIONS or CERTIFICATIONS:
• Criminal background check required for hire.

MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE:
• Operating knowledge of and?experience with personal computers and peripherals??
• Operating knowledge of and experience with typical office equipment, such as?telephones, copier, fax machine, etc.?
• Operating knowledge?of and experience with office productivity programs, such as Microsoft Office Suite, E-mail, etc.
• Operating knowledge of district information technology systems and department-specific?software and equipment required within 3 months after entering position

• Makes recommendations that effect the allocation of resources; tracks and audits budget once it has been adopted, participates in data collection and organization of budget materials; may initiate requisitions.
