About this role

Job summary

Please note: at this stage, the role is open only to colleagues currently employed within Kent and Medway NHS Trusts, the Kent and Medway Integrated Care Board (ICB) and Medway Community Healthcare. Nursing vacancies are also open to Student Nurses and Newly Qualified Nurses.

Our Enablement and Urgent Care services are responsive and flexible with the aim of supporting people todevelop and maintain their independence within their home environment. Our aim is to prevent unnecessaryhospital admission and facilitate early discharge from the acute hospitals.Our admin team provide support to the client facing team 365 days a year across East Kent.

Main duties of the job

Supporting managers and senior clinical staff by overseeing, inputting and processing data using variouscomputer systems Liaising with the Hospital Discharge Teams to co-ordinate discharges to the Home First Service andallocating the visits generated to the team Act as a point of contact for the team, answering routine enquiries, assessing the nature of telephone callsand emails, actioning in an appropriate manner or referring them to the appropriate person, in liaison withyour colleagues, where necessary. Occasionally assisting with receiving visitors in a courteous, prompt andefficient manner Ensuring that staff, service users and members of the public who contact the team are dealtwith efficiently and consistently. Monitor and control confidential storage Provide administrative support to the team, including uniform, stationery, IT equipment and personalprotection equipment ordering, dealing with incoming and outgoing mail, photocopying/printing necessarydocuments, maintaining stock of equipment and supplies and completion of standard forms, surveys andaudits Assist with booking rooms/parking spaces for meetings and appointments on behalf of the line manager andother staff within the Unit, sending the relevant documents to staff as required Input information on spreadsheets, highlighting possible errors, so that accurate figures are available forthe manager to use Collating agendas for team meetings and minuting as required

Person Specification

Qualifications & Experience Essential

Educated to GCSE level or equivalent to include Mathematics and English Background in Adult Social Care and / or Health Care administration

Skills & Abilities Essential

Experience of a wide range of IT packages including MS Office, ESR systems, Procurement systems Ability to interact courteously and confidently with other people Strong organisational skills Maintaining confidentiality of colleagues and service users Ability to travel across a wide geographical area in a timely and flexible manner at various times of the day, if required, using car, public transport, car-sharing etc.

Knowledge Essential

Awareness of the services provided by Kent Adult Social Services/Kent County Council/Health Understanding of Equality and Diversity Understanding of health and safety issues within the workplace

Ability To Manage Essential

Ability to manage own time effectively and achieve deadlines Maintain attention to detail, even under pressure Commitment to personal development
