About this role

Job summary

We are looking for a Fertility Administrator to join our friendly and dedicated team at Cambridge IVF in Trumpington.

This is a rewarding opportunity for an organised, compassionate and highly professional administrator who will be an important point of contact for our patients throughout their Fertility treatment.You will be responsible for providing efficient administrative support to both our patients and clinical team.

The Ideal candidate will have excellent customer service, attention to detail and the ability to maintain confidentiality in a sensitive healthcare environment.

Main duties of the job

Coordinating patient consultations, scans, investigations and treatment appointments.Managing patient correspondence, treatment documentation and clinical records.Communicating with patients by telephone or email in a professional and sensitive manner.Processing referrals, test results and clinical correspondence accurately and promptly.Maintaining accurate, confidential and up-to-date patient records.Managing appointment changes and responding effectively to patient queries.Ensuring all administrative processes comply with clinic policies, confidentiality requirements and relevant regulatory standards.Handle patient payments and receipts as required.Coordinate with nurses, doctors and laboratory staff to ensure smooth patient flow and timely service delivery.

Person Specification

Qualifications Essential

Educated to A level or NVQ level 3 Customer Service/Business Admin

Desirable

Secretarial/Administrative qualification or equivalent

Experience Essential

Previous experience in an administrative or patient-facing healthcare role. Experience of working in a busy administrative environment. Experience handling confidential and sensitive information.

Desirable

Experience working within an NHS, private healthcare, IVF or regulated clinical.

Knowledge Essential

Sound knowledge of office procedures Understanding of customer service Experience using electronic databases and Microsoft Office or equivalent systems Understanding of the importance of confidentiality and data protection

Desirable

Knowledge of the Trust including awareness of priorities Able to learn and use specialist clinical and administrative systems Understanding of HFEA regulations Knowledge of IVF/ICSI, IUI, fertility preservation or other assisted conception treatments
