Work Environment: NGL offers a flexible work environment where employees can work fully remote, hybrid or onsite at our Madison, Wis. office. We support virtual working arrangements in certain states outside of WI.

A Day in the Life:

Preparing the work to be processed timely for other employees and assisting other business units within Service Operations as needs dictate are the key components of this position. The employee must assist with a varying degree of clerical tasks, primarily indexing documents, as a primary responsibility of this job. The ability to follow, reference, and understand a great variety of routing processes based on the document and insurance product is critical in order to succeed in this role. The employee must be able to accurately and quickly enter data into both our administration and document management systems. In this role, work is performed under general supervision. Expectations include managing all incoming work products with other duties and work assigned.

Primary Responsibilities:

• Accurately Administer Indexing Queues

• Review scanned documents for quality assurance.

• Accurately find policies and index documents

• Verify policy information and status of active coverage.

• Research documents with missing information using various tools

• Route mail and documents to each Business unit following our established procedures and within stated service guidelines.

• Accurately input the application number, agent number, and insured name.

• Accurately and quickly create claim follow-ups in the claim management system.

• Accurately and quickly index all types of electronic documents.

• Index death claims in the claim management system for newly submitted notifications via the mail, phone or fax and distribute work to the team.

• Suggests solutions that meet the immediate needs of a problem and those directly impacted.

• Escalates issues appropriately to others.

• Ability and willingness to work with others in a team environment.

• Participate in group decision making, listening, and responding constructively to others.

• Offer help to teammates with ad-hoc tasks.

• Manage and adjust personal time off, breaks, and lunches to insure sufficient team coverage.

• Actively participate in team meetings and team building activities.

• Help ensure that team standards and goals are maintained across Service Operations Business Units.

• Prioritize and process work according to team standards.

• Assist team members to meet turnaround expectations.

• Ability to switch between Business units and tasks as needed.

• Perform other related work as requested or required.

• Process Daily back-end tasks to include, but not limited to:

• Research all returned mail and coordinate mail updates with appropriate Business unit

• Process Outstanding checks

• Assist with claims DMF audit work

• Assist with Queries, including maintenance and clean-up work

• Assist with Business units distribution queues

Essential to Your Success:

• Ability to quickly gain knowledge of NGL procedures

• Basic communication skills--oral and written

• Ability to transfer information correctly between systems

• Ability to prioritize work

• General PC, phone and office machine knowledge

• Typing skills of at least 45 words per minute and 5500 keystrokes per hour alphanumeric

• Must be able to work within a team environment

• Organized and detail oriented

• Maintain satisfactory attendance according to written company policy

Education Requirements:

• Minimum Requirements: High School diploma or GED

Years of Experience:

• Two years customer services or office assistant experience preferred

• Prior related work experience not required
