*The Role*
We are seeking an HR & Office Administrative Assistant to support the day-to-day administration of our people, workplace, and office processes.
This is a hands-on, execution-focused role for someone with foundational HR knowledge and sound professional judgment. You will follow established policies and management direction, maintain accurate records, coordinate recurring HR processes, and help ensure that important tasks are completed properly and on time.
You will also serve as a point of contact for routine employee questions. You should be able to apply established policies consistently, recognize when an issue requires clarification, and escalate sensitive or higher-risk matters to management.
This is not a senior or strategic HR position. The role is focused on reliable execution, practical judgment, and consistent follow-through.
*Key Responsibilities*
_*Recruitment and Employee Administration*_
- Post job openings, screen applicants, coordinate interviews, and keep candidates informed throughout the recruitment process.
- Prepare and coordinate onboarding and offboarding activities, including documentation, checklists, training coordination, account and access requests, and internal notifications.
- Maintain complete, accurate, and confidential employee files, records, templates, and HR trackers.
- Support the administration of training, leave, performance-management, and termination processes under management direction.
- Respond to routine employee questions using established policies and procedures.
- Refer unclear, sensitive, or higher-risk employee matters to management.
_*HR Operations and Payroll Coordination*_
- Track employee status changes and prepare accurate pay-period updates for Finance.
- Report new hires, terminations, unpaid sick days, unpaid leave or vacation, approved expenses, and other relevant employment changes.
- Coordinate requests for Records of Employment and other payroll-related documentation with Finance.
- Review tutor timesheets against scheduling or service records, identify discrepancies, and follow up to ensure that accurate information is ready for processing.
- Maintain current HR policies, procedures, forms, templates, and operational manuals.
- Support the fair and consistent application of established company policies.
- Promptly flag potential employee-relations, confidentiality, compliance, or liability concerns to management.
_*Office and Facilities Administration*_
- Coordinate office supplies, routine purchases, keys, access, equipment, and other shared resources.
- Complete assigned facilities and office-administration tasks.
- Follow up with vendors, employees, and managers as required.
- Keep recurring operational tasks organized, documented, and completed by deadline.
- Perform other reasonable HR and office-administration duties as assigned.
*Qualifications and Experience*
- One to three years of practical experience in HR administration, people operations, office administration, or a closely related role is strongly preferred.
- Foundational knowledge of HR practices and the professional judgment to handle routine employee interactions appropriately.
- Strong common sense, discretion, integrity, and respect for confidential information.
- Demonstrated ability to follow instructions, apply policies consistently, and complete tasks accurately and on time.
