About this role

Frederick Health is seeking an Oncology Scheduler for as needed basis. Monday to Friday 7:30a-4p, 8a-4:30p, or 8:30a-5p (30 minutes for lunch)

Job Summary

Supports, and is responsible for incorporating into job performance, the Frederick Health (FH) mission, vision, core values and customer service philosophy and adheres to the FH Compliance Program, including following all regulatory requirements and the FH Standards of Behavior.

The Oncology Scheduler is responsible for answering scheduling related calls for Medical Oncology, Radiation Oncology, Chest Surgery, and IVOP. The Oncology Scheduler will answer multiple line telephones in a timely, professional manner, and schedule physician new consult and follow-up appointments according to the practice template within the Meditech Expanse, and/or Aria EMR. The Oncology Scheduler gathers appropriate patient information to pre-register the patient within these EMRs and ensures pre-visit paperwork is sent to the patient for completion. The Oncology Scheduler directs other calls to appropriate staff as needed. Performs other administrative duties as assigned.

Example of Essential Functions:

• Patient Appointment Scheduling

• Answers scheduling related calls and inquiries. Schedules physician visits according to the practice template.

• Maintains exceptional communication with the clinical teams and Office Supervisor to ensure all inquiries are handled appropriately, providing the best service possible.

• Appropriately directs calls, takes accurate messages or responds to calls by utilizing knowledge of policies, procedures and practices.

• Maintains multiple phone lines, placing a caller on hold while another line is answered.

• Triages calls to the Triage RN with clinical related issues.

• Reschedule patients as needed, taking direction from the Office Supervisor.

• Collaborate with Interpreting Services as appropriate.

• Maintains exceptional patient satisfaction in all interactions.

• Manages voicemail box and responds to voicemails within the business day.

• Administrative Support Duties

• Assists in the coordination of Oncology Service Line activities and events with internal and external customers.

• Coordinates lunch or breakfast with Pharmaceutical Representatives.

• Department Specific Duties

• Provides phone coverage for peers during lunch, vacation, sick leave, etc.

• Attends and contributes to department staff meetings and Patients At Risk for Unhappiness meetings.

• Uses various software applications and electronic health records, such as MS Office, Meditech, Meditech Expanse, and Aria to create correspondence and schedule appointments.

• Office Support for Multiple Service Areas

• Operates office equipment such as photocopier, fax machine and calculator.

• Operates personal computer to access e-mail and electronic calendar.

• Other duties as assigned.

Required Knowledge, Skills and Abilities:

• At least two years prior experience in a healthcare office setting; Oncology office experience preferred. Additional education may be substituted for experience.

• Intermediate proficiency and accuracy in the use of software programs such as MS Word, and Outlook; Experience with electronic heath records, such as Meditech Expanse, and Aria, preferred.

• Excellent communication skills, both verbal and written; professional telephone communication;

• Ability to manage multiple phone lines;

• Strong organizational skills and ability to prioritize and manage multiple tasks;

• Ability to communicate information and ideas in speaking so others will understand;

• Ability to understand written sentences and paragraphs in work related documents;

• Ability to work professionally with a diverse population base;

• Ability to maintain a high level of confidentiality;

• Ability to create, compose and edit written materials;

• Ability to analyze and solve problems;

Minimum Education, Training, and Experience Required:

• High School Diploma or GED required. Vocational training preferred.

Must demonstrate and maintain current knowledge and skills in providing appropriate care/contact for patients in the following age groups:

__ Neonate (0 thru 30 days)

__ Infant (31 thru 12 months)

__ Child (13 months thru 12 years)

__ Adolescent (13 years thru 17 years)

__ Adult (18 years thru 65 years)

__ Geriatric (66+ years)

Physical Demands:

Sedentary - Light Work - Lifting up to 15 pounds on an infrequent basis (less than one lift every three minutes). While work is mostly done sitting, a certain amount of walking or standing is often necessary.

• Bloodborne Pathogens Exposure Risk: Category C – NO exposure to blood or body fluids.

Reporting Relationship:

Reports to Oncology Managers and the Office Supervisor.

Pay is based on experience, skills and education. If position is part-time, salary will be pro-rated based on scheduled hours. The pay range may also vary within the stated range based on specialty if applicable. Non-Exempt positions may have shift differential and/or Overtime paid, if applicable.

Hourly range: $18.09 -$24.24
