We're looking for a thoughtful, self-directed, and highly organized Administrative Assistant to anchor our Seattle office. This role is at the heart of a small but growing team — the person who keeps things running, creates a welcoming environment, and makes sure the details land without being chased.

The right candidate is resourceful, independent, and collaborative — someone who structures their own day, closes loops completely, and is comfortable making routine decisions without waiting for direction. You'll be the sole administrator on-site, working closely with our HR Team (based in CA) and the wider Administrative team across the West Coast — which means the office runs because you run it. You'll keep your work visible, share status proactively (especially when something's stuck), and offer feedback and ideas to improve how we operate. We're not looking for perfection — we're looking for someone who takes initiative, cares about people, follows through, and wants to help a mission-driven team do their best work every day.

What You’ll Do ● Facilitate day-to-day operations — support a smooth, warm, and professional experience for our Seattle office, keeping shared spaces guest-ready every day on your own initiative. ● Process mail and billing — handle daily legal mail intake and routing to the correct case teams, and log case expenses and invoices on a consistent weekly cadence with accuracy and follow-through.

● Coordinate deliveries and building access — serve as our point of contact for property management, including freight elevator scheduling, vendor visits, and supply deliveries, relaying building updates to the team promptly. ● Maintain organization — manage supplies and inventory, support document filing (digital and physical), and keep case-platform entries current. ● Be the connector — keep communication flowing between Seattle and Pasadena with daily check-ins and weekly status updates, flagging obstacles when they arise rather than after. ● Support HR and onboarding — prepare new-hire workspaces and equipment so people are ready to work on arrival, assist with scheduling and event coordination, and serve as the go-to resource for new team members settling in. ● Contribute to culture — help plan team gatherings, celebrate milestones, and support Justice Cares community initiatives. ● Equipment and light IT support — set up, configure, and troubleshoot laptops, monitors, headsets, and peripherals for the office; manage device check-in/check out (including wiping and prepping floater machines) with support from our CA team. ● Facilities and safety coordination — schedule and meet building maintenance and vendors, maintain documentation of office systems (HVAC/thermostats, fire control room), and keep workplace safety materials current (e.g., OSHA postings and binder). ● Keep our playbooks current — maintain and update office SOPs, team guides, and tracking documents so they stay accurate as the firm grows. ● Purchasing and vendor orders — manage recurring supply orders (Costco and others), maintain the order log, and track office spending against expectations. ● Pitch in where needed — scanning, printing, one-off asks from attorneys and staff: every day looks a little different here, and that's part of the fun.

We are a growing firm - Seattle is expanding, and this role grows with it: new hires to onboard, new processes to build, and increasing responsibility for the person who runs with it

What You’ll Bring

● 2+ years of administrative, operations, or customer service experience (law firm or professional services experience a plus but not required). ● Demonstrated success working independently — as a sole administrator, with a remote manager, or in a role where you owned outcomes end to end. ● Comfort working in a dynamic, evolving environment — you adapt quickly and find or create solutions.

● Strong, proactive communication and a genuine, team-first attitude — you volunteer status, including bad news, before anyone asks. ● A facilitator's mindset — you anticipate needs, notice what the office needs before it's requested, and make things easier for others. ● Attention to detail, sound judgment, and complete follow-through — "done" means finished and confirmed, not started. ● Familiarity with Microsoft Office, Google Workspace, and other digital tools; comfort learning new platforms quickly. ● A sense of ownership and pride in building something new.

Benefits & Compensation ● Hourly Rate: $23 - $28 depending on experience
