Compensation: $20.00 to $23.50 per hour, non-exempt ($41,600 to $48,880 annualized), commensurate with experience and qualifications.

POSITION SUMMARY
The Operations and Advisory Coordinator provides end-to-end operational execution for the Operations and Advisory Specialist, Stewardship Advisors, and the Chief Investment Officer's client accounts. This role is the firm's primary point of contact for custodial account servicing, executing trades, processing distributions, and completing account actions. The Coordinator is trusted to exercise independent judgment on routine account actions while confirming trade parameters and larger decisions with the advisor directing the work.
KEY RESPONSIBILITIES
Custodial Account Servicing and Third-Party Coordination. Act as the primary liaison to Schwab operations and alternative-investment desks, resolving paperwork exceptions, held or pending transfers, and account-title issues, and escalating custodian or rep errors.
Trade Execution. Execute buy and sell orders across equities, ETFs, and fixed income per advisor instruction, perform proportional liquidations, purchase and track Treasury bills and notes, and journal cash and shares between linked accounts.
Client Distributions, RMDs, and QCDs. Process recurring and one-off client distributions, Required Minimum Distributions, and Qualified Charitable Distributions, applying correct tax withholding and coordinating charitable checks.
Client Money-Movement Verification and Disbursement. Verify the authenticity of money-movement requests by calling the client directly before releasing funds.
Client and Advisor Onboarding, Account Opening, and Asset Transfers. Open and title new custodial accounts, process re-registrations, set up ACH/wire linking, and coordinate Transfer of Assets / ACAT transfers.
Beneficiary, Trust, and Signature Documentation. Process beneficiary and TOD designation updates, draft Letters of Instruction, coordinate post-death documentation, and manage DocuSign envelopes.
Alternative Investment and Illiquid Asset Administration. Prepare, verify, and track Alternative Investment Custody Letters of Authorization and subscription agreements.
Advisory Billing Support. Calculate, reconcile, and process quarterly advisory fees through custodial billing systems.
Client Service and Cross-Functional Support. Serve as a direct point of contact for clients on account servicing questions and provide status updates to advisors and the CIO.
Salesforce CRM Maintenance. Maintain accurate CRM records, documentation uploads, and task tracking.
Compliance Recordkeeping and Regulatory Correspondence Support. Support ADV and regulatory correspondence and organize client documentation into structured recordkeeping folders.
REQUIRED QUALIFICATIONS
Associate or Bachelor's degree preferred (business, finance, or a related field a plus).
One (1) to three (3) years of experience in operations or financial services support roles.
Working familiarity with custodial account-servicing processes and paperwork (e.g., Charles Schwab).
Experience with CRM systems; Salesforce strongly preferred.
Strong attention to detail and ability to manage multiple concurrent tasks and deadlines.
Proficiency with Microsoft Office, especially Excel.
Clear written and verbal communication skills.
PREFERRED QUALIFICATIONS
Prior experience executing trades or processing distributions in a custodial or RIA environment.
Prior exposure to DocuSign envelope preparation and signature-tracking workflows.
Prior exposure to alternative investment or subscription-document paperwork.
Progress toward, or interest in obtaining, a Series 65 license or equivalent.
COMPENSATION & BENEFITS
Compensation: $20.00 to $23.50 per hour, non-exempt, commensurate with experience and qualifications. As a non-exempt position, this role is eligible for overtime in accordance with applicable federal and state law, and for company profit sharing based on organizational performance.
