The Senior Administrative Specialist is responsible for supporting the daily administrative operations of the Beijing office and manufacturing site, ensuring a safe, compliant, efficient, and professional workplace environment.

This role focuses on operational execution and coordination across office management, facilities administration, vendor management, transportation management, government affairs support, security administration, budget control, and employee engagement activities. The position also serves as a key contact for local authorities, suppliers, and internal stakeholders to support business continuity and operational excellence.

In this role, you will have the opportunity to:

Office Operations & Facility Management

• Responsible for managing the daily administrative operations of the Beijing office and manufacturing site to ensure a safe, efficient, and professional workplace environment. This includes coordinating office facilities, workplace layout, office equipment, meeting rooms, office services, and site maintenance activities, while supporting office renovation, relocation, workspace planning, and continuous workplace improvement initiatives. Vendor Management & Procurement

• Responsible for managing administrative vendors and service providers to ensure service quality and business continuity. Coordinate procurement activities for office equipment, supplies, consumables, employee welfare items, and other administrative requirements, while maintaining supplier relationships, contracts, purchasing records, and driving cost optimization initiatives. Transportation & Travel Management

• Responsible for overseeing company transportation and travel-related administration, including company vehicle arrangements, executive and visitor transportation support, vehicle utilization monitoring, and shuttle bus operations. Coordinate transportation suppliers, monitor service quality and costs, collect employee feedback, and support business travel administration, visa applications, invitation letters, and travel policy compliance. Security, Compliance & Government Affairs

• Responsible for supporting site security and compliance management through access control systems, visitor management, CCTV administration, parking management, and workplace inspections. Act as a key liaison with local government authorities and coordinate government inspections, compliance reviews, audits, licenses, permits, corporate seal administration, and other regulatory requirements. Employee Experience & Administrative Support

• Responsible for supporting employee lifecycle and engagement activities, including onboarding and offboarding processes, workstation setup, access card arrangements, asset management, and workplace allocation. Provide logistical support for meetings, training sessions, Town Hall meetings, Family Day, Growth Day, and other employee engagement programs, while developing and maintaining administrative SOPs, policies, and continuous improvement initiatives to enhance overall administrative service quality.

The essential requirements of the job include:

• Bachelor’s degree or above in Business Administration, Management, Public Administration, or related disciplines. • Minimum 5 years of experience in administration, facilities management, office operations, or related functions. • Experience supporting both office and manufacturing site operations is preferred. • Good command of both Chinese and English, in written and spoken communication.

It would be a plus if you also possess previous experience in:

• Strong execution capability, attention to detail, and ability to manage multiple tasks effectively. • Good communication and coordination skills. • Proficiency in Microsoft Office is required, and experience with SAP or similar systems is a plus.
