Office & Accounting Administrator
The Office & Accounting Administrator is responsible for supporting the day-to-day administrative and accounting activities of the company. This position plays an important role in maintaining accurate financial records, coordinating office operations, and providing administrative support to employees, managers, customers, and vendors.
The successful candidate will be organized, dependable, and comfortable managing multiple priorities in a fast-paced construction environment. This role requires strong attention to detail, and sound judgment. This is an office-based position.

QUALIFICATIONS | EXPERIENCE
• Post-secondary education in accounting, business administration, office administration, or a related field is preferred.
• Minimum of 4 years of experience in a similar position.
• Experience with Microsoft Office suite and accounting software
• Understanding of basic accounting principles, including accounts payable, accounts receivable, reconciliations, and general ledger coding.
RESPONSIBILITIES
Accounting Administrator
• Process accounts payable invoices, ensuring appropriate approvals, coding, and supporting documentation are obtained. Address any discrepancies.
• Assist with accounts receivable administration.
• Reconcile vendor statements and investigate discrepancies.
• Prepare deposits and record incoming payments.
• Prepare and process purchase orders
• Ensure employee timesheets are completed weekly and ready for review.
• Ensure all visa receipts are submitted, coded and ready for review.
• Import transactions from the credit card platform to the accounting platform and reconcile bimonthly.
• Assist Finance Team with month end and year end procedures as assigned.
Office Administrator
• Coordinate the daily administrative activities of the office and help ensure efficient office operations.
• Responsible for general office upkeep and organization
• Answer direct telephone calls, emails, and general inquiries.
• Welcome visitors, customers, vendors, and employees in a professional manner.
• Order office supplies and coordinate office equipment, maintenance, and service requirements.
• Schedule meetings, coordinate calendars, and assist with travel arrangements when required.
• Provide administrative assistance to project teams, management, and other departments as required.
• Communicate with employees, customers, subcontractors, suppliers, and other external contacts.
• Assist with special projects and perform other related duties as assigned.
• Manage all crew and office team hotel bookings, make changes and reconcile invoices.
