About this role
[What the role is] In this role, you will be part of the Transformation & Organisation Development (T&OD) team, supporting the administration and coordination of PUB's innovation and transformation portfolio. You will assist the team in managing innovation and transformation initiatives, awards administration, stakeholder engagement and related communications. [What you will be working on] Your roles and responsibilities will include, but are not limited to the following:
1. Innovation & Awards Administration
• Support the administration and coordination of PUB's innovation evaluation panel meetings, including consolidating agendas, presentation slides, and supporting documents, and preparing minutes for management review and approval • Assist in the administration of internal innovation awards and related award programmes at the Whole-of-Government level, including evaluating submissions against award criteria, compiling nomination information and supporting the administration of innovation incentive payments • Liaise with relevant departments on verification, clearance, and approval processes for award nominations and recipients • Prepare and maintain records and documentation (such as payroll templates for awards, innovation statistics, brainstorming fund utilisation) required for submission to management and stakeholders.
2. Transformation & Change Management
• Support the administration and coordination of PUB's Smart and Artificial Intelligence (AI)-enabled steering committee’s quarterly meetings, including performing secretariat duties such as preparing agendas, consolidating presentation materials, and writing minutes. • Assist with the coordination and administration of departmental workshops and Focus Group Discussions that support AI adoption, AI solutioning and engagement on PUB’s transformation vision. • Produce internal communications on PUB’s transformation initiatives and promote adoption of AI tools
[What we are looking for]
• Degree in Business Administration, Communications, Social Sciences, Public Administration, Human Resource Management or related disciplines. • Excellent interpersonal and communication skills, both written and spoken. • Strong organisational and coordination skills with the ability to manage multiple timelines and stakeholders. • Meticulous, resourceful and able to work independently in a fast-paced environment. • Proficient in Microsoft Office applications such as Outlook, Word, Excel and PowerPoint. • Experience in event coordination, project administration, awards administration or stakeholder engagement would be advantageous. • Experience in data consolidation, report preparation and records management would be advantageous. • Familiarity with WOG productivity tools (e.g M365 CoPilot, Pairchat) and design platforms (e.g Canva) would be advantageous. • This is a 11-months contract position.
