HEALTH PROFESSIONS ADMISSIONS ASSISTANT
Division: Support Services Department: Admissions Experience: Entry Level Job Code: TBD Supervisor/Reports To: Jennifer Lockhart
Provide front-line administrative support for Health Professions Admissions by greeting visitors, answering inquiries, and assisting with application processing. This role helps maintain organized records, supports admissions events, and delivers a welcoming experience for prospective students and families.
• Serve as first point of contact at the front desk: answer calls, greet visitors, route inquiries, and schedule appointments – C, P, CT
• Process and track application materials: data entry, scanning/filing, and maintaining confidential records – T, P, CT
• Support admissions events and interview days: prepare materials, manage check-in, and assist guests – TW, C, P
• Monitor shared email/inboxes; provide accurate information using scripts/templates and escalate complex cases – C, CT, P
• Maintain spreadsheets/reports for prospects and applicants; update contact lists and mailing databases – T, CT, P
• Contribute to special projects (e.g., outreach lists, mailings, deliveries) and other duties as assigned – TW, P

Education Requirements: Must be a current UPIKE student in good standing. Preferred Skills: Word; Excel; PowerPoint; attention to detail; strong active listening; written & verbal communication; willingness to learn. Work Schedule: M–F, varies depending on workload; up to 20 hours/week; no Sunday/Saturday hours. Work Conditions: Typical office environment. Physical Demands: Keyboarding; reaching/handling; occasional lifting/carrying up to 20 lbs. Pay Rate: $9.75/hour Location: Admissions Office – HPE 6th Floor
