About this role

Job summary

We are looking for a friendly, professional and organised Receptionist to join our busy GP surgery team.

The role is varied, with responsibilities both at the reception desk and on the telephone. You will be one of the first points of contact for our patients, providing a welcoming, helpful and efficient service while ensuring that patient information is handled with the utmost confidentiality.

No two days are the same, and you will play an important role in helping the practice run smoothly and ensuring patients receive the support they need.

You will also provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via telephone.

The post-holder will be expected to undertake training, which is appropriate and relevant, to enhance and progress their role within the Practice.

Main duties of the job Key responsibilities

Welcoming patients to the surgery and providing a friendly and professional reception service.Answering incoming telephone calls promptly and dealing with a wide range of patient queries.Booking, cancelling and rearranging GP, nurse and other clinical appointments.Supporting patients with general enquiries and directing them to the appropriate service or member of staff.Taking accurate messages and passing information to the relevant team members.Managing the reception area and assisting patients with check-in and other administrative queries.Liaising with GPs, nurses, administrative staff and other healthcare professionals.Maintaining accurate and confidential patient records.Handling sensitive and sometimes challenging conversations calmly and professionally.Following practice procedures relating to confidentiality, safeguarding, information governance and patient care.Carrying out general administrative duties to support the smooth running of the practice.

The duties and responsibilities undertaken by the practice reception team will be varied dependent on current and evolving practice workload and staffing levels.

To book patient appointment requests by telephone and in person following practice procedures.

To ensure all messages are dealt with efficiently and appropriately and cascaded to the relevant person.

To take requests from members of the public wishing to become patients issuing the appropriate information and application forms and advising them of the new patient application process.

To be able to process repeat prescription requests accurately in accordance with practice guidelines.

To scan and attach documents onto the patients electronic medical record accurately in accordance with practice procedures.

To process electronic referrals via the Locala website to the District Nursing Team.

To process data entry onto patient medical records, always ensuring accuracy and security of data.

As practice processes change under the direction of NHS England etc. duties and responsibilities will evolve, and it is expected that the post-holder will undertake training in order to participate and be competent in a wide range of activities.

Person Specification

Qualifications Essential

GCSE grade A to C in English and Maths or equivalent.

Experience Essential

We are looking for someone who: Has excellent communication and interpersonal skills. Is friendly, approachable and able to make patients feel at ease. Can remain calm and professional in a busy environment. Has excellent telephone manner and listening skills. Is organised, reliable and able to manage competing priorities. Has good attention to detail and accurate data-entry skills. Is confident using computers and willing to learn practice-specific systems. Understands the importance of confidentiality and handling sensitive information appropriately. Can work effectively as part of a team while also using their own initiative. Is compassionate and patient-focused, particularly when dealing with people who may be worried, upset or frustrated. Previous experience in a GP surgery, NHS or healthcare environment would be desirable, but is not essential. Full training will be provided to the successful candidate.
