Job Description The Payroll Specialist is responsible for the accurate and timely processing of bi-weekly payroll for 5,000+ employees in a complex, multi-state environment, as well as weekly payroll processing for a designated smaller employee population. The role supports mandatory federal, state, and local reporting requirements, prepares and submits required forms to various regulatory agencies, and serves as a key resource for payroll troubleshooting and case management with system vendors.
This position operates as an independent self-starter, applies critical thinking to resolve payroll issues, follows all payroll procedures, complies with applicable laws and regulations, and maintains strict confidentiality. Additionally, the Payroll Specialist provides support to field leaders and team members by addressing payroll-related questions.
Responsibilities
• Process bi-weekly payroll for 5,000+ employees in a multi-state environment • Ensure compliance with all state laws regarding final pay and related payroll requirements • Process weekly payroll for a designated small employee population • Manage and audit complex employee tax setups, including multi-state and local tax scenarios • Administer wage garnishments, including order review, system entry, payment processing, and agency correspondence • Support mandatory reporting and preparation of payroll-related filings with federal, state, and local authorities • Manage tax-related correspondence with agencies and employees to resolution • Assist with internal and external audits • Troubleshoot payroll system issues and manage cases with payroll system vendors through resolution • Respond to payroll-related inquiries from management and employees • Communicate process improvement opportunities and global payroll issues to leadership • Complete special projects and additional duties as assigned
Skills and Knowledge Excellent verbal and written communication skills, Experience with payroll systems; familiarity with Workday preferred, Flexibility and adaptability in a fast-paced, deadline-driven environment, High level of data entry accuracy and attention to detail, Independent self-starter with the ability to manage priorities and meet deadlines, Strong analytical and problem-solving skills
Qualifications
• High school diploma or equivalent • 3+ years of payroll related experience
Physical Requirements
• Ability to operate a computer, keyboard, mouse, and other standard office equipment • Able to clearly view and read information on a computer screen • Occasionally lift or move items up to 15 pounds
