Equinix is looking for an experienced Executive Assistant to provide professional support to multiple executives. This take-charge individual will work to organize all aspects of work life, including calendar, travel, meetings, and events. This position requires strong experience in executive support at the most senior levels, polished communication skills, exceptional attention to detail, good judgment, business savvy and the ability to manage proactively within a very dynamic, fast-paced environment, with constantly evolving priorities.

Qualified candidates must be able to provide a high level of day-to-day executive support and be willing to do what it takes to get the job done. We are looking for a team player who is energetic, proactive, and hardworking. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to anticipate the needs of the executives and work independently with little supervision. This person must be exceedingly well organized, curious, dynamic, a technology whiz, detail oriented, flexible, a quick study and must enjoy the administrative challenges of supporting a busy executive and function in a fast-paced environment. Most importantly, the candidate must be the kind of optimistic and solutions-oriented team-player that stakeholders value working with.

Responsibilities

Heavy calendar management: set appointments, prioritize & juggle appointments in the moment. Must be able to independently identify and resolve issues with calendar and schedule. Able to proactively anticipate sequencing of meetings

Managing a global calendar with multiple time zones, sometimes for a single meeting

Handling a complex travel and accommodation schedule using the internal Equinix travel program wherever possible (with need to juggle multiple requests in the moment and resolve scheduling issues)

Organize complex domestic and international travel, thinking out of the box for creative ways to keep costs down

Exercise sound judgment and discretion in handling confidential and sensitive information

Meeting/event preparation, set-up and follow-up, including presentation proofing and edits

Attend meetings as required and ensure action item follow-up

Prepare expense reports, and review direct reports expenses, ensuring all expenses are accurate and within policy guidelines

Process POs and actively handle to completion

Plan and organize Operations leadership meetings and event planning

Prepare for and support meetings, both telephone and in-person – often at the direction of Global Operations Chief of Staff

Must know how to run all types of remote meetings using various platforms – Zoom, Teams, most prevalent

Special projects as requested (ad hoc tasks)

Assist in managing customer and employee relationships and meetings

Must be able to work flexible hours on occasion

Ability to interact with other C-level executives, board members, shareholders, employees, and clients

Answer phones and screen calls

Must be able to coordinate & work well with team of Equinix EAs and with internal support organization to develop positive and productive partnerships in support of the business

Additional Qualifications/Responsibilities: Qualifications

3+ years of administrative experience (or equivalent) required, with c suite executive level management support experience preferred

Expert proficiency in MS Office - PowerPoint, Excel & Word is required

Extraordinary attention to detail and a dedication to meeting expectations for quality and accuracy

Excellent written and verbal communication skills

Dedication to the highest degree of discretion and respect for confidentiality

Highly organized and excellent at planning

Previous work experience in a fast growth, international, technology company preferred

Previous work experience at a global company preferred

Knowledge of international travel booking protocols, visas and how to obtain most current information on country travel requirements

May be required to travel domestically and internationally

Maturity, solid judgment and the ability to interact with confidence with executive management

This is a hybrid role requiring regular onsite presence two days per week. Due to the nature of executive support responsibilities, occasional additional in-office attendance may be required to support meetings, events, leadership activities, and business priorities

The targeted pay range for this position in the following location is / locations are:

United States - Denver Office DEO : 70,000 - 105,000 USD / Annual

Our pay ranges reflect the minimum and maximum target for new hire pay for the full-time position determined by role, level, and location.The pay range shown is based on our compensation structure in place at the time of posting and may be updated periodically based on business needs. Individual pay is based on additional factors including job-related skills, experience, and relevant education and/or training.
