About this role

Job summary

An exciting opportunity has arisen to join Southwell Medical Centre as our new Operations and Workforce Manager.

We are looking for an experienced, enthusiastic and highly organised individual to join our leadership team and play a pivotal role in supporting the smooth and effective running of our thriving practice.

This is a varied and rewarding management position with responsibility for workforce management, recruitment, staff wellbeing, HR administration, facilities management, governance support, patient engagement and operational improvement.

The successful candidate will work closely with the Practice Manager and GP Partners to ensure the practice continues to provide high-quality, safe and accessible healthcare services to our growing patient population.

This role would suit an experienced Deputy Practice Manager, Operations Manager or HR Manager.

Main duties of the job

You will lead on all aspects of workforce administration and support, including:

Managing recruitment campaigns and advertising vacancies Coordinating interviews and onboarding processes Managing pre-employment checks and safer recruitment requirements Maintaining personnel records and employee files Monitoring professional registrations and compliance requirements Managing DBS, indemnity, occupational health and immunisation records Supporting induction programmes for new staff Maintaining staff handbook content and workforce procedures Supporting appraisal, disciplinary, capability and attendance processes Coordinating mandatory training compliance Producing national workforce returns and reports Supporting employee wellbeing initiatives Lead the Patient Participation Group (PPG) Coordinate patient engagement activities Analyse patient feedback and trends Lead "You Said, We Did" communications Support the management of patient complaints and compliments Identify opportunities for service improvement based on patient feedbackManage premises maintenance and repairs Coordinate contractors and service providers Oversee PAT testing and equipment calibration schedules Manage clinical waste contracts and compliance Maintain surgery and locum insurance arrangements Support business continuity and resilience planning Ensure a safe and effective working environment for staff and patients

About us

Southwell Medical Centre is a semi-rural practice in the heart of Nottinghamshire, serving a patient population of circa 12300 patients.

We have a large multi-disciplinary clinical team including permanently employed staff as well as ARRS staff employed by our PCN.

We are a really friendly team, looking to maintain excellent levels of patient care.

We offer enrolment into the NHS Pension Scheme, have on-site parking and also offer an employee assistance programme.

Person Specification

Qualifications Essential

GCSE English and Mathematics (or equivalent) Evidence of continued professional development

Desirable

CIPD qualification or equivalent HR qualification Management qualification IOSH or NEBOSH qualification

Experience Essential

Experience of staff management or supervision Experience of recruitment and employment processes Experience of managing confidential information Experience of implementing policies and procedures Experience of working within a busy operational environment Strong organisational and planning skills

Desirable

GP practice or primary care experience NHS experience Workforce planning experience Facilities management experience Patient engagement or PPG experience Information Governance and DSP Toolkit experience

Skills Essential

Excellent communication and interpersonal skills Strong organisational and workload management abilities Ability to manage competing priorities High level of attention to detail Ability to work independently and as part of a leadership team Competent IT skills including Microsoft Office applications
