About this role

Job summary

The postholder will provide a high-quality administrative and coordination service to support the effective running of the department. The role will involve managing information, supporting patient pathways, coordinating meetings and referrals, maintaining accurate records and ensuring that appropriate actions are followed up and escalated when required.

The postholder will work closely with clinical, administrative and management colleagues to support safe, timely and efficient service delivery.

Main duties of the job

Provide administrative and coordination support to the service. Maintain accurate and up-to-date electronic records, databases and tracking systems. Monitor outstanding actions and escalate delays or concerns to the appropriate team. Support the preparation and coordination of meetings, patient lists and related documentation. Manage referrals, correspondence, inboxes and general enquiries. Communicate effectively with clinical and administrative colleagues. Prioritise competing demands and complete work within required timescales. Handle confidential and sensitive information appropriately. Undertake additional administrative duties in line with service requirements.

Person Specification

Education/ Qualifications Essential

GCSE or equivalent in Maths and English or equivalent experience

Experience Essential

General administrative experience Knowledge of appointment systems and patient administration systems IT literacy

Desirable

NHS experience Evidence of staff training and development

Skills/Knowledge/ Abilities Essential

Excellent IT skills Able to organise and prioritise Attention to detail Excellent interpersonal skills Problem solving skills

Knowledge in use of the Integrated Computerised Hospital Information System (ICHIS).
