About this role

Job summary

The Tiverton Adult Community Mental Health Team is seeking to recruit an enthusiastic, flexible and multi-skilled Administrator to join its busy administration team. The role is 34 hours per week and based within Tiverton Hospital.

Main duties of the job

The role includes management of the administration team within the Tiverton Community Mental Health Team. As a role model, you will inspire and motivate the team, fostering a positive and challenging environment where staff are valued and encouraged to reach their full potential. You will be responsible for line management, recruitment, and ensuring high-quality administrative support for our clinical teams.

You will work closely with the Clinical Team Manager to ensure high quality administrative support. Developing, maintaining and improving processes and systems which provide the clinical team with effective, efficient methods to enable them to use time effectively.

You will be responsible for arranging, chairing and minute taking regular administrative meetings.

The post holder will be responsible for ensuring all records are up to date on appropriate staffing and patient systems, and ensure standards relating to administrative processes are maintained.

To maintain communication links with all staff, using a variety of techniques to develop team morale and motivation through effective personal leadership.

The successful candidate will have excellent IT skills, great attention to detail and accuracy and have excellent organisation and time management skills. As well as be a strong team player and have the ability to follow Trust policies and procedures.

Person Specification

Qualifications Essential

Level 4 Diploma in Business Administration or equivalent qualification or experience. GCSE English or equivalent. Evidence of continuing professional and personal development.

Desirable

ICDL (International Computer Driving License), or equivalent experience

Experience Essential

Excellent organisational skills. Experience of managing administration staff Experience of dealing with confidential and complex information Ability to take accurate formal and informal minutes

Desirable

Previous NHS experience of working in a Healthcare or Social Care administrative setting

Planning and Organisational Skills Essential

Able to plan, organise, prioritise, coordinate and work flexibly Able to deal with difficult situations Ability to work without direct supervision on a day to day basis Attention to detail/quality Ability to recognise and manage challenging situations in a calm and professional manner
