✨THE ROLE
The Front of House Coordinator is responsible for delivering a professional, welcoming, and efficient reception and front-of-house service within a commercial office building. The role is the first point of contact for tenants, visitors, contractors, clients, and building stakeholders, ensuring a high standard of customer service and presentation at all times.
The Front of House Coordinator will work closely with the FOH team, Building Management, Facilities, Security, Cleaning, Maintenance, and other service teams to ensure the smooth day-to-day operation of the building and an excellent occupier experience.
✨KEY RESPONSIBILITIES
Reception & Customer Service
• Deliver a warm, professional welcome to tenants, visitors, clients, and contractors
• Manage reception and front-of-house throughout operating hours
• Greet visitors, provide directions, and manage registration, access, and visitor passes per building security requirements
• Answer calls and handle general enquiries professionally
• Build positive relationships with tenants and building users
• Handle queries and complaints promptly, escalating where needed
Building Operations & Facilities Support
• Act as key point of contact between tenants and the Building Management/Facilities team
• Report and follow up on maintenance, cleaning, security, and facilities issues
• Monitor and check reception, entrances, lounges, and other front-of-house areas, flagging defects promptly
• Coordinate deliveries, couriers, contractors, and building services
• Support tenant communications and operational requirements alongside the Facilities team
• Assist with meeting room, amenity, event, and conference arrangements as required
Security & Health and Safety
• Follow building security, access control, emergency, and health and safety procedures
• Maintain accurate visitor and contractor records
• Challenge or report unauthorised access per building procedures
• Support emergency procedures, including evacuations and incident response
• Report accidents, hazards, and security concerns promptly to the appropriate representative
• Ensure front-of-house procedures comply with company and building policies
Tenant & Occupier Experience
• Develop positive working relationships with tenants, occupiers, property managers, and building stakeholders
• Assist with tenant requests and provide appropriate information about building facilities and services
• Support tenant engagement initiatives, building events, seasonal activities, and occupier communications
• Help maintain a consistently high-quality customer experience throughout the building
• Identify opportunities to improve front-of-house services and tenant satisfaction
Administration
• Maintain accurate records, logs, visitor information, and daily reports.
• Manage incoming and outgoing correspondence, deliveries, and parcels as required
• Assist with building communications, notices, and tenant information
• Maintain reception documentation and operational procedures
• Provide administrative support to the Building Management or Facilities team when required

• Previous experience in front-of-house, reception, hospitality, facilities, property, or customer service
• Excellent customer service and communication skills
• Professional, confident, and approachable manner
• Strong organisational skills and ability to manage multiple priorities in a busy commercial environment
• Proactive, detail-focused approach to problem solving
• Calm and professional under pressure
• Good IT skills, including Microsoft Office
• Professional appearance and presentation
• IOSH Certification (desirable)
