ROCK, Ride On Center for Kids, is a PATH International accredited center in Georgetown, Texas, providing equine-assisted services to children, adults, and veterans. We are dedicated to enhancing quality of life through connection with the horse.

Position Summary

The Administrative Assistant supports the daily operations of ROCK and works closely with the CEO, COO, CPO, Development Department, and other department leaders. This position requires a highly organized, proactive, and service-minded individual who can manage multiple priorities while creating a welcoming environment for staff, participants, families, volunteers, donors, and visitors.

Because the Administrative Assistant is often one of the first voices or faces someone encounters at ROCK, exceptional hospitality, professionalism, and attention to detail are essential.

Key Responsibilities

Hospitality & Welcome

• Take ownership of creating and maintaining a welcoming environment throughout ROCK.

• Conduct daily walkthroughs of key areas, including the front office, Ham Family Room, restrooms, Patti Colbert Learning Center, H-E-B Serving Kitchen, and ROCKateer Lounge.

• Monitor hospitality supplies, including coffee, beverages, paper goods, and bottled water for tours and guests.

• Identify facility or hospitality concerns and communicate needs to the COO.

• Serve as a welcoming and professional first point of contact for visitors and guests.

Administrative Support

• Provide administrative support to the CEO, COO, CPO, Development Department, and other department leaders as requested.

• Check in regularly with the CEO regarding projects, tasks, and priorities.

• Utilize Microsoft Teams and other systems to track projects and assignments.

• Assist with project timelines, deadlines, and follow-up.

• Collect, distribute, and process incoming and outgoing mail.

• Assist with donor and stakeholder thank-you correspondence as needed.

• Coordinate recognition of staff birthdays and employment anniversaries.

Staff & Board Support

• Maintain current staff rosters, contact information, birthdays, and other designated information.

• Assist the CPO with administrative aspects of new employee onboarding.

• Prepare welcome materials for new employees.

• Assist the CEO and Board President with onboarding new Board members.

• Prepare welcome materials for incoming Board members and recognition materials for outgoing members.

Office & Facility Coordination

• Monitor office supply inventory and place approved orders.

• Coordinate vendor returns as needed.

• Maintain receipts and submit appropriate expense documentation to the Accounting Manager.

• Monitor marketing material inventory and communicate restocking needs to the Communications Coordinator.

• Help maintain organized, professional, and welcoming common areas.

Meetings, Meals & Events

• Prepare meeting spaces for staff, program, Board, committee, and community meetings.

• Coordinate room setup, technology, supplies, and refreshments.

• Arrange setup and cleanup for staff lunches, Board meetings, retreats, and other organizational gatherings.

• Take and distribute meeting notes as requested.

• Coordinate monthly staff lunches, including ordering, pickup, setup, and cleanup.

• Coordinate ROCK On Veterans meals and other hospitality needs as requested.

• Provide additional event and hospitality support as needed.

Community & Volunteer Support

• Assist with scheduled and unscheduled ROCK campus tours.

• Process required releases and documentation for tours and work groups.

• Coordinate work group scheduling with department leaders.

• Train, schedule, supervise, and support Welcome Wrangler volunteers.

• Secure Welcome Wrangler substitutes and provide backup coverage when necessary.

• Assist with reservations for the Patti Colbert Learning Center and other meeting areas.

• Coordinate cards and recognition for community partners and other external stakeholders as requested.

Development Support

• Provide administrative support to the Development Department as requested.

• Assist the Horseshoe Club Committee with mailings and donor communications.

• Support donor acknowledgment and thank-you projects.

• Assist with donor meetings, tours, and special events as needed.

Qualifications

• High school diploma or equivalent required.

• Previous administrative, office, hospitality, or customer service experience preferred.

• Exceptional organizational skills and attention to detail.

• Ability to manage multiple priorities and deadlines.

• Strong written and verbal communication skills.

• Excellent interpersonal and customer service skills.

• Proficiency in Microsoft Word and Excel.

• Ability to learn and effectively use Microsoft Teams and other organizational systems.

• Salesforce experience is a plus.

• Ability to appropriately handle confidential information.

• Ability to work independently and collaboratively.

• Willingness to occasionally work evenings and weekends as needed.
