Special Education Administrative Assistant (K-12) Location: Lowell, Massachusetts Position Type: Full-Time, Year-Round Reports To: Director of Special Education About the Position A growing K-12 Massachusetts charter school is seeking a highly organized, detail-oriented, and professional Special Education Administrative Assistant to support the Special Education Department. The successful candidate will play a critical role in ensuring compliance with state and federal special education regulations while providing administrative support to special education leadership, educators, service providers, students, and families. This position requires exceptional organizational skills, discretion, confidentiality, and the ability to manage multiple priorities in a fast-paced educational environment. Key Responsibilities Administrative Support
• Provide administrative support to the Director of Special Education and special education team.
• Maintain accurate and confidential student special education records.
• Schedule and coordinate Individualized Education Program (IEP), eligibility, reevaluation, and team meetings.
• Prepare meeting notices, attendance records, and required documentation.
• Manage calendars and coordinate schedules with staff, families, and service providers.
• Monitor and organize department correspondence, files, and reports.
Compliance and Documentation
• Assist in maintaining compliance with IDEA, Section 504, and Massachusetts special education regulations.
• Support the preparation, distribution, and filing of IEPs, evaluations, progress reports, and related special education documents.
• Enter and maintain student information in electronic data management systems.
• Track timelines for evaluations, annual reviews, and reevaluations.
• Assist with state reporting and data collection requirements.
Family and Staff Support
• Serve as a welcoming point of contact for families regarding special education processes and meetings.
• Facilitate communication among families, school staff, and related service providers.
• Assist with translation and interpretation coordination as needed.
• Support onboarding and documentation processes for special education staff and contractors.
Office Operations
• Order and maintain department supplies.
• Generate reports and maintain spreadsheets as requested.
• Support department projects and school-wide initiatives.
• Perform other duties as assigned by the Director of Special Education.
Qualifications Required
• Associate's degree or equivalent combination of education and experience.
• Minimum of two years of administrative experience.
• Strong organizational, communication, and interpersonal skills.
• High level of proficiency with Microsoft Office Suite, particularly Outlook, Word, Excel, and Teams.
• Ability to maintain strict confidentiality and handle sensitive information professionally.
• Strong attention to detail and ability to meet deadlines.
Preferred
• Bachelor's degree.
• Experience working in K-12 education, special education, or charter school settings.
• Knowledge of Massachusetts special education regulations and procedures.
• Familiarity with student information systems and special education management software.
