Position Title: Assistant Director of Business Services Department: Business Services Reports To: Director of Business Services FLSA Status: Exempt SUMMARY: Under limited supervision, assists the Director of Business Services in managing the daily financial operations of the school district. The position assists with accounting processes, financial reporting, compliance and coordination of business services functions while ensuring adherence to policies, procedures, laws and regulations on financial-related matters. ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Assists in overseeing daily operations of general ledger accounting, accounts payable, payroll and other business functions to ensure accuracy and compliance with established procedures.
• Supports the preparation of schedules, reports, and documentation and assists auditors for the district's annual financial audit.
• Helps ensure timely submission of various financial information to the SC Department of Education and other entities.
• Assists with year end financial closing.
• Provides financial guidance and support to principals, department heads, and school and departmental bookkeepers.
• Works with the director to development and monitor internal control procedures over accounts payable, payroll and other business functions of the School District.
• Prepares monthly, quarterly and year-end journal entries.
• Works with director to ensure timely submission of quarterly claims.
• Assists with tracking and reconciliation of fixed assets.
• Performs timely reconciliations of various district accounts and funds, identifying, resolving, and when necessary, reporting any discrepancies to the director.
• Assists the director in overseeing the operation of the business services department and providing support to staff.
• Helps train the department's staff on financial-related processes and accounting matters.
• Works with the director to problem solve and resolve any issues that could negatively impact the financial standing of the district.
• Serves as backup to the director to ensure continuity of operations during times of absence.
• Assists the director to ensure continuity of operations during the Chief Financial Officer's absence.
• Performs other duties as may be assigned by the Director of Business Services.
JOB SPECIFICATIONS EDUCATION and/or EXPERIENCE: Bachelor's Degree in Accounting or Finance and at least five years of accounting/finance experience or an acceptable equivalent combination of education and experience. Supervisory experience preferred. Experience with governmental fund accounting required, with preference for school district experience. Working knowledge of financial statements and their components. Working knowledge of budgeting and accounting processes. Working knowledge of business software applications including spreadsheets, word processing, and databases. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. CERTIFICATES, LICENSES, REGISTRATIONS: None required. SC Certified School Business Official preferred. SUPERVISORY RESPONSIBILITIES: Assists director with supervision of staff. Responsibilities include assistance with interviewing and training employees; planning, assigning, and directing work; appraising performance; addressing complaints; and resolving problems. LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of administrators, staff and the general public. MATHEMATICAL SKILLS: Ability to work with mathematical concepts such as probability and statistical inference and in the display and interpretation of assessment data. Ability to apply basic concepts of statistical analysis, fractions, percentages, ratios, and proportions to practical situations. REASONING ABILITY: Ability to interpret and carry out instructions furnished in written, oral, diagram or schedule form. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. OTHER SKILLS and ABILITIES: Ability to perform duties with awareness of all district requirements and Board of Education policies. Personal computer experience required. Ability to apply knowledge of current research and theory in specific field. Ability to establish and maintain effective working relationships with students, staff and the school community. Ability to speak clearly and concisely both in oral and written communication. Conditions of employment adjusted for part time employees or individuals who are hired for less than an entire school year.
