Role mission You will support the company's daily administrative and office activities, ensuring that documents, invoices, expenses and internal processes remain accurate, organized and up to date. Working closely with the Operations Back Office Specialist, you will help maintain an efficient administrative environment, allowing operational teams to focus on customers, suppliers and logistics. This role is ideal for someone who enjoys organization, attention to detail and supporting a growing international business behind the scenes. Key responsibilities Administrative Support • Organize and maintain digital and physical company documentation. • Archive contracts, certificates, invoices and operational documents. • Prepare standard administrative documents and templates. • Ensure customer and supplier files remain complete and updated. • Maintain an organized filing structure across shared company folders. Accounting & Finance Support • Collect and organize supplier invoices. • Perform first-level checks on incoming and outgoing invoices before validation. • Prepare monthly expense reports and reimbursement documentation. • Collect receipts and supporting accounting documents. • Prepare documentation for the external accountant. • Maintain accurate accounting archives and document records. Office Management • Manage office supplies and administrative purchases. • Support travel arrangements and meeting organization. • Maintain shared administrative documents and internal templates. • Coordinate routine administrative requests from the team. Documentation & Compliance • Keep certifications, legal documents and company records properly archived. • Monitor document validity and expiry dates. • Prepare documentation requested by customers, suppliers and authorities. • Support the preparation of internal and external audits (BIO, customer audits, certifications). • Maintain internal procedures, checklists and operational documentation. Profile Required • First professional experience (internship or 1–2 years) in administration, office support or back office. • Italian (native or fluent). • Good command of Microsoft Office package. • Excellent organizational skills and strong attention to detail. • Comfortable working with digital tools. • Reliable, accurate and well organized. Nice to have • French, German and/or English. • Experience with ERP or accounting software. • Experience in a small or medium-sized international company. • Interest in food, logistics or international trade.
