About this role
Your role Our Administration team at Saltgate provide a bespoke suite of administration services. Our experienced team members deliver high quality output designed to support throughout the fund life cycle. Reporting to the Assistant Manager or Manager you will be the senior point of contact on all administration matters for a portfolio of clients ensuring all items are completed and delivered within strict operational deadlines across client entity transactions. You will also act as a mentor and supervisor for Juniors and Fund Administrators. Your focus - Coordinate, organise and document Board meeting and shareholder meeting including drafting minutes, preparing resolutions and ensuring action follow-up. - Monitor and track incoming emails and ensure they are responded to on a timely basis, escalating where appropriate. - Manage the full lifecycle of Luxembourg entities: incorporation, liquidation, restructuring, repatriation, statutory filings, audit coordination. - Maintenance of accurate corporate records and database. - Support deal execution by assisting with KYC/AML reviews, transaction documents and understanding investment structures. - Lifecycle of investor transactions: capital call, distribution, transfer, capital call and distribution notices, capital Statements, investor register's update. - Lead the communications with client contacts, lawyers, auditors, investors, bankers and other third parties. Your experience - Prior experience of 3 years in company administration in Luxembourg, ideally within financial services and investment funds framework along with knowledge of AIF structures - Able to demonstrate excellent communication skills providing clear direction around delivery and able to delegate effectively - Demonstrate a collaborate style working with others to build partnerships to meet shared objectives - Be able to analyse complex information to effectively solve problems - Has good judgement and decision-making skills and is able to deliver optimal client solutions All individuals are assigned responsibility for assisting in the overall information security and data protection environment.
