About this role

Job summary

Dorset County Hospital NHS Foundation Trust is seeking a highly organised and proactive administrator to support the Consultant Chemical Pathologist and the Blood Sciences Department.

The post-holder will lead on clinic administration, governance support and communication processes, working closely with senior clinical and laboratory staff. Strong interpersonal skills, sound judgement and the ability to work independently are essential.

Main duties of the job

Oversee clinic scheduling and provide administrative support to the Consultant Chemical Pathologist and Head of Blood Sciences.

Support governance processes, training compliance, departmental meetings and regulatory inspections.

Maintain effective communication systems for patient enquiries and clinic bookings.

Order departmental consumables, monitor expenditure and escalate concerns where required.

Act as a key contact for internal colleagues, external agencies and regulatory bodies.

Line manage the General Administrator for Blood Sciences and support wider Pathology administration when needed.

Demonstrate professionalism, tact, diplomacy and problem-solving skills at all times.

Person Specification

EDUCATION, QUALIFICATIONS & TRAINING Essential

NVQ level 4 or equivalent level in related discipline or GCSE grade C or above in Maths and English

Desirable

Qualification in Management/Supervision Attendance at Course relating to Management of/Supervising a Team

EXPERIENCE Essential

Experience within a healthcare or science environment within the last 3 years Good understanding of Trust policies and procedures and ensure that these policies are upheld and delivered at all times; robust knowledge of management procedures Undertaking own work with out supervision and supervising work carried out to meet specific deadlines Ability to identify and use initiative when work needs to be reorganised and introduce appropriate work practices. Introduce and oversee safe delivery of new processes and procedures and oversee related process change Experience of and confident working with Microsoft Office with specific knowledge to produce, analyse and manipulate spreadsheets; to confidently present the detail/data to varying audiences

Previous secretarial tasks to include producing agendas & minutes and minute-taking Previous rostering experience Previous line management experience to include recruitment, sickness and disciplinary matters Previous experience undertaking appraisals and 2 identifying suitable staff training programme/s for team members Previous budget management experience Experience of working within an environment that presents exposure to patient specimen and to be able to handle unpleasant matters being discussed in a professional and confidential manner

KNOWLEDGE, SKILLS & ABILITIES Essential

Robust keyboard skills Confident use of computers Ability to consistently communicate verbally and in writing to a high standard Good manual dexterity Ability to plan and prioritise own work with no supervision required Ability to use initiative & demonstrate a can-do attitude at all times and lead by example Ability to define and maintain confidentiality at all times Ability to liaise with a range of stakeholders with confidence and signpost if necessary Ability to handle pressured situations and be able to diffuse challenging behaviour while remaining calm at all times

Knowledge of Patient Administrative Systems and to make recommendations for improvement where necessary Knowledge of Clinic preparation - booking patient appointments/follow-ups Ability to liaise with patients and provide guidance where necessary and evidence ability to signpost to correct colleague
