About this role
Essential Responsibilities
• Collect, verify, and maintain personnel documents from selected candidates while tracking pending documents and conducting timely follow-ups. Update personnel file tracking sheets and provide status reports to the supervisor.
• Create and maintain personnel files and job files for newly hired employees in accordance with established HR checklists.
• Prepare, update, and maintain employee records, including changes related to employment status, documentation, and job files.
• Coordinate with departments and field teams to ensure timely submission of employee timesheets and upload manual timesheets for support staff.
• Support the HR team throughout the recruitment process, including candidate coordination and administrative assistance.
• Coordinate interviews with shortlisted candidates and ensure smooth communication with applicants.
• Conduct reference checks and RPS verification for selected candidates as required.
• Prepare draft employment contracts and related HR documentation for new hires.
• Support employee onboarding and orientation activities, biometric registration and coordinate logistical arrangements and joining formalities in accordance with organizational procedures.
• Prepare, update, and maintain HR reports for timely submission and sharing whenever required.
• Maintain employee leave records and provide updated leave reports to supervisors within defined deadlines.
• Support the HR team and supervisor in obtaining required approvals for HR correspondence.
• Scan, dispatch, and properly file HR documents as required, ensuring accurate record management and timely availability of documents for reference and compliance purposes.

Minimum Qualification & Transferable Skills
· Bachelor's degree in human resource management, Business Administration, Management, or a related field with 1-2 years of experience in human resource management.
· Basic knowledge of HR practices, file and record management, and recruitment processes.
· Proficiency in Microsoft Office (Word, Excel, Outlook) and email communication.
· Strong written and verbal communication skills.
