We're seeking a proactive, highly organized Administrative Assistant to support our Executive Office. In this role, you'll provide comprehensive administrative and organizational support to the Chairman, CEO, and Corporate Secretary while serving as an integral member of the executive support team! Work Hours: 8:30am - 4:30pm, Monday through Friday.
Primary Responsibilities:
• Provides administrative support to the CEO and Corporate Secretary by managing calendars, scheduling meetings, coordinating travel arrangements, preparing correspondence, and maintaining departmental records and files. Screens calls and responds to routine inquiries.
• Coordinates logistics for Board of Directors and Committee meetings, including scheduling, meeting room arrangements, preparation and distribution of agendas, board books, and supporting materials.
• Collects necessary information needed to build board books and ensures timely distribution to Board members.
• Maintains corporate records and committee documentation in accordance with applicable policies and record retention requirements.
• Serves as backup to the Corporate Secretary for Board of Directors and Committee meetings by coordinating meeting administration, attending meetings as required, preparing accurate meeting minutes, and ensuring committee records are properly maintained.
• Provides timely responses to Audit requests.
• Provides administrative support for the Bank Foundation including but not limited to performing data entry in applicable system, assisting with application review, maintaining application records and related tracking logs, preparing and sending correspondence, assisting with grant administration, preparing reports and meeting materials, and supporting related Foundation events and initiatives.
• Maintains confidential corporate, committee, Foundation, and departmental records. Ensures documents are accurately organized, retained, and readily accessible while safeguarding sensitive information.
• Assists with corporate events, Board functions, Foundation activities, and other special projects requiring administrative coordination and logistical support.
• Responsible for preparing and maintaining directors fee documentation.
• Prepares and sends invoices and requests for processing. Assists with related budgeting and administrative tracking as assigned.
Requirements/Qualifications:
• Associates degree in Business Administration or related field preferred, plus minimum 3 years of progressively responsible administrative support experience, preferably supporting senior leadership or executive management.
• Experience supporting Board committee activities, preparing meeting minutes, or coordinating committee meetings required.
• Must be resilient and agile with ability to deal with all types of personalities.
• Proven ability to manage multiple priorities and adapt well to change.
• Strong knowledge of executive administrative practices and office management. A thorough knowledge of banking and regulatory environment is preferred.
• Excellent communication skills including ability to prepare professional correspondence and accurately document meeting minutes.
• Strong organizational, planning, and time management skills.
• High level of discretion and ability to maintain confidential and sensitive information are required.
• Strong proficiency in MS Office/Office 365 suite including Word, Excel, PowerPoint, and document management systems.
• Strong interpersonal and customer service skills with the ability to interact professionally with executive leadership, Board members, employees, vendors, and community partners.
• Must be able to work independently while exercising sound judgement and attention to detail.
Candidates who do not meet the minimum requirements for the position will not be considered. Salary commensurate with experience.
Wage Range: $55,000 - $70,000
